Action Property Management seeks a Part-time Sales & Marketing Assistant for our Corporate Office located in Irvine, CA.

Job Summary

The Sales & Marketing Assistant supports Action’s business development and marketing efforts through prospect research, email outreach preparation, content organization, and project coordination. This part-time role is well suited to someone who enjoys independent, detail-oriented work and can keep several ongoing projects organized.

Compensation: $22 per hour

Schedule: Varies; up to 20 hours per week.

What You’ll Do (Job Duties)

Business Development Research & Outreach

  • Research prospective community associations in the regions Action serves, identify appropriate contacts, and organize outreach lists in ActiveCampaign.
  • Identify associations affected by competitor acquisitions, self-managed associations, new developments, and communities preparing to come online.
  • Research general manager contacts for potential Action Financial Services outreach.
  • Maintain accurate solicitation records, including contact details, outreach status, and follow-up activity.
  • Draft tailored email messaging for prospect segments, including new developments, new leads, previously contacted leads, and associations affected by acquisitions.
  • Help develop an RFP guidebook and AI-assisted reference materials so New Business Development managers can respond more efficiently to lengthy RFPs.
  • Marketing & Content Support

  • Coordinate the review and management of approximately 40–70 Google and Yelp reviews each month, escalating feedback that requires a response.
  • Keep marketing materials current as associations are added or transition out of Action’s portfolio.
  • Organize and maintain the internal content library for Action’s 350+ associations.
  • Audit more than 1,000 website photography assets and document their source and copyright information.
  • Assist with light content creation and video editing.
  • Track and manage podcast accreditation certificates.
  • Coordinate the design, ordering, inventory, and distribution of branded giveaway items.
  • Who You Are (Skills/Experience)

  • High school diploma or equivalent required. A college degree in marketing, communications, business, or a related field is preferred. Current college students are encouraged to apply.
  • Must be able to successfully pass a background check and drug screen
  • Strong research, organization, and data-entry skills, with close attention to detail.
  • Clear, professional writing skills and the ability to adapt messaging for different audiences.
  • Ability to manage recurring tasks and longer-term projects independently.
  • Comfort working with spreadsheets, shared content libraries, and email marketing platforms; ActiveCampaign experience is a plus.
  • Familiarity with AI tools for research or drafting, with the judgment to verify information before use.
  • Experience in marketing, sales support, business development, or the community association industry is helpful.
  • Prolonged periods sitting at a desk and working on a computer.
  • Capable of lifting up to 25 pounds as needed.
