About the Job

The Sales Operations Coordinator is the operations and reporting backbone for the firm's consults function, supporting both the Marketing & Sales Director and the consults/intake team. This role keeps CRM data accurate and current, prepares the metrics leadership and billing rely on, and removes day-to-day friction so coordinators can focus on calls and attorneys can focus on consultations.

This is a behind-the-scenes, back-office role — not a client-facing position. You won't be on consult calls, managing case relationships, or advising clients. Your world is the systems, trackers, and reporting that keep the sales/consult team running on time, every day. It's an administrative role by design — a non-commission role, which preserves your independence over the trackers and KPIs you maintain.

Responsibilities

#1 CRM & Lead Flow

  • Assign incoming opportunities to leads coordinators on a round-robin basis, so callbacks happen quickly.
  • Check and acknowledge Google LSA messages multiple times daily and assign each to a coordinator round-robin for full follow-up.
  • Verify each lead's marketing source is listed correctly — specifically incoming Google LSA leads — and flag persistent mislabeling to marketing for an upstream fix.
  • Log AI-receptionist voicemails morning, midday, and end of day, route them for callback, and track callback completion in the metrics tracker.
  • Upload consult documents to each lead's CRM profile ahead of the consult so the attorney can review before the consultation.

#2 Contract & Document Quality Control

  • Review outgoing contracts for clerical and data accuracy (client name, service, fee, deposit, dates match the intake/quote) before they route to the legal team. This is not legal or substantive review — the attorney retains that.

#3 Reporting, KPIs & Goals

  • Maintain the weekly consult-goal and income-goal message; update it three times daily with actuals.
  • Maintain a full KPI set (prepared for Director sign-off), consistent with existing methodologies and templates: cohort conversion rates, leads in, consults scheduled and clients signed per team member, average call time, monthly revenue, average fee per case, average deposit per case, monthly consults booked, and monthly clients retained.

#4 Consult Support

  • Write the end-of-day consult summary for the attending attorney, Monday–Friday, ready by the end of the day.

#5 Administrative & Team Support

  • Reconcile the consult and income commission trackers, prepare them for Director review, and submit to billing on approval.
  • Clear false-busy blocks on attorneys' calendars so the consult team can book, confirming directly with the attorney which blocks are open before clearing. Never clear a block without that confirmation.
  • Keep the Zoom recording library clean — as storage fills, move recordings to the designated SharePoint folder and clear the space in Zoom, preserving each recording before deleting it from Zoom.

You're the ideal fit if you:

  • Are bilingual (Spanish & English) with strong detail-oriented & communication skills.
  • Bring at least 1 year of experience supporting a sales or intake team in a U.S. immigration law firm.
  • Genuinely enjoy administrative and process-driven work — this role is built for someone energized by keeping systems, trackers, and workflows accurate, not someone looking for a relationship-facing or advisory role.
  • Are comfortable working inside a CRM/lead-management system daily, assigning and auditing lead status quickly and accurately.
  • Have strong Excel/Google Sheets skills, including comfort with filters, trackers, and pulling accurate reporting data.
  • Are highly organized with strong time-management skills — able to juggle multiple daily deadlines (round-robin SLAs, three-times-daily updates, end-of-day reporting) without dropping details.
  • Can be trusted with sensitive financial and commission data — this role touches reporting that requires full discretion and accuracy.
  • Have a proactive, detail-first mindset — you notice when something looks off (a mislabeled lead, a status out of place) and flag it before it becomes a problem.

Technical Requirements

  • Candidates must have a laptop or desktop computer with 8GB RAM, Core i5 or above.
  • Integrated external webcam for virtual meetings.
  • Stable internet connection.

What's Offered

  • Monthly salary range: USD 1,500–1,700
  • Open to negotiation based on experience
  • Full-time position of 40 hours per week
