CRM Ownership, Order Coordination & Customer Success | Architectural & Building Materials

Schedule: 9:00 AM–6:00 PM EST, Monday–Friday


Overview

We're looking for an exceptional CRM & Sales Operations Specialist to join our client's team. This is a high-ownership role built around three core responsibilities: acting as the primary owner of the CRM (GoHighLevel), coordinating every order from close to delivery and installation, and supporting outreach campaigns focused on customer service and customer success.

The ideal candidate is an expert-level GoHighLevel operator who is highly organized, reliable under pressure, and comfortable owning a process from start to finish without needing to be told what's next.


About Our Client

Our client is a Miami-based supplier of patented decorative plaster and resin-bound stone systems, a modern alternative to traditional plaster and tile. Their proprietary anti-crack memory resin technology, launched in 2018, delivers a high-end finish for both new construction and no-demolition remodels. With operations centered in Miami and New York, they serve a nationwide base of residential and commercial clients, retail partners, and installers in a segment of the architectural surfaces industry projected to grow 8 to 14% annually.

Responsibilities

CRM Ownership

  • Act as the primary owner and administrator of GoHighLevel (GHL), with full command of pipelines, tags, and automations.
  • Run regular audits using AI tools to confirm that every lead, tag, and pipeline stage in the CRM is accurate and up to date.
  • Assign incoming leads to the appropriate sales rep and confirm the handoff was completed.
  • Flag and resolve CRM data issues before they affect the sales team.

Order & Delivery Coordination

  • Once a sales rep closes a deal or a client places an order on the website, take ownership of coordinating fulfillment from end to end.
  • Communicate with the warehouse team and the sales rep to manage all logistics related to the order.
  • Follow up with whoever is needed (warehouse, sales rep, client, installer) so the order moves forward smoothly.
  • Call the client after delivery to confirm the product arrived in good condition.
  • Coordinate with installers to ensure installations run efficiently through the day of the project.
  • Create follow-up tasks for the sales rep so they can continue checking in with the client after the sale.

Outreach Campaigns

  • Participate in multiple outreach campaigns as needed, with varying objectives, focused primarily on customer service and customer success.
  • Support campaign execution using GHL and other outreach tools (e.g., Listkit) as required.


High-Accountability Environment

This is a demanding, detail-driven operations role. Candidates should be comfortable managing multiple orders and deliveries at once, keeping the CRM immaculate during high-volume periods, and being held accountable for measurable accuracy and follow-through.

The ideal candidate is industrious, highly organized, and capable of spotting and fixing gaps anywhere in the process, from the CRM to the client's doorstep, without waiting to be told.


Requirements

  • Demonstrated, hands-on expertise in GoHighLevel (GHL): building, auditing, and maintaining flows, tags, and pipelines.
  • Comfortable using AI tools to run CRM audits and quality checks.
  • Experience in a sales operations, logistics coordination, or customer success role.
  • Confident communicating by phone with clients to confirm deliveries and coordinate installations.
  • Professional written and verbal English; Spanish is a plus.
  • Self-sufficient, highly organized, and reliable with tight follow-up and delivery timelines.
  • Experience with WooCommerce order processing is a strong plus (training provided).
  • Cold email/outreach experience (Listkit or similar) is a plus.
  • Reliable high-speed internet and computer required.
