Position Title: Sales Support Coordinator Location: Remote (U.S.-based) with Occasional Travel Reports To: Partner Recruitment Director United Benefit Advisors® (UBA), a collaborative community of independent employee benefits advisory firms, is seeking a Partner Recruitment Coordinator (posted as Sales Support Coordinator) to support the identification, recruitment, and onboarding of high-quality independent firms that align with UBA's values and membership standards. This role is ideal for a highly organized, tech-savvy and resourceful professional who enjoys research, relationship-building, and managing the CRM system, details and information that move prospects through a recruitment process. The Partner Recruitment Coordinator works closely with the Director of Partner Recruitment, prospective Partner Firms, the Partnership Committee, and internal team members to create an organized, responsive, and professional experience from initial outreach through onboarding. The successful candidate will bring strong research, communication, project coordination, and technology skills. This person will be comfortable managing multiple priorities, maintaining accurate records, following up consistently, and contributing ideas that strengthen UBA's recruitment efforts. Key Responsibilities Identify and Research Prospective Partner Firms Support the growth of UBA by identifying independent employee benefits firms that may be a strong fit for the partnership. Research and generate prospective Partner Firm leads using LinkedIn, industry associations, online resources, referrals, marketing campaigns, and other sources. Review prospective firms for alignment with UBA's membership profile, values, and requirements. Maintain accurate and current information about prospective firms, contacts, and relevant market activity. Help create, update, and organize recruiting materials, email templates, prospect recaps, and supporting resources. Maintain the Recruitment Pipeline and CRM Provide consistent administrative and operational support throughout the recruitment process. Enter and maintain lead, company, contact, and opportunity information in HubSpot. Update pipeline stages as prospects move through the recruitment process. Create, monitor and track outreach, follow-up, and next-step tasks. Ensure prospect communications and activities are accurately documented and categorized. Prepare data and reports that track recruitment activity, pipeline movement, and progress toward established goals. Identify missing information, stalled opportunities, or follow-up needs and bring them to the Director of Partner Recruitment's attention. Support the Partnership Committee Coordinate the information and processes the Partnership Committee needs to evaluate prospective Partner Firms and make informed recommendations. Prepare meeting agendas, materials, minutes, and follow-up items. Coordinate meeting schedules, attendance, quorum confirmation, and responses from committee members. Assemble and distribute prospective Partner Firm applications and supporting documentation including feedback from existing Partner Firms in close proximity to the prospect. Coordinate committee reviews and voting, including electronic voting when appropriate. Maintain organized and accurate committee and applicant records. Assist with committee membership transitions and vacancies as needed. Support Prospect Engagement and New Partner Firm Onboarding Help create a responsive, organized, and welcoming experience for prospective and newly approved Partner Firms. Coordinate outreach email campaigns to qualified prospects. Participate in prospect meetings, document key information, and maintain meeting notes in HubSpot. Assist with follow-up communications, prospect recaps, and supporting materials. Coordinate information and logistics for prospects attending UBA conferences or other events. Help prepare internal and external announcements welcoming new Partner Firms. Communicate new Partner Firm information to internal team members to support a smooth transition into onboarding. Assist newly approved Partner Firms with questions and next steps as they move from recruitment to onboarding. Contribute Across the UBA Team UBA operates with a collaborative team of approximately 14 employees. While this position has primary responsibility for partner recruitment coordination, the successful candidate will be expected to assist with other projects, programs, events, and operational responsibilities as organizational needs arise. Team members are expected to work across functional areas, share ownership, cross train and contribute wherever their skills can help UBA and its Partner Firms succeed. Qualifications, Skills, and Requirements Two or more years of professional experience in business development support, sales operations, or a related field. Strong research skills and the ability to evaluate and organize information from multiple sources. Excellent written and verbal communication skills. Demonstrated attention to detail and commitment to maintaining accurate records. Experience using HubSpot or another customer relationship management (CRM) platform is strongly preferred. Strong organizational and project coordination skills, with the ability to manage multiple priorities and deadlines. Professional and responsive approach when communicating with prospects, Partner Firms, committee members, and colleagues. Sound judgment and discretion when handling confidential business and applicant information. Proactive, dependable, and comfortable working independently in a remote environment. Collaborative mindset and willingness to support responsibilities outside the position's primary focus when needed. Tech-savvy with strong proficiency in Microsoft Office Suite, PDF software and virtual collaboration tools. Experience with LinkedIn, online research tools, AI-assisted research, or lead-generation platforms is preferred. Experience in the employee benefits, insurance, professional services, or association environment is helpful but not required. Travel Requirements Occasional travel may be required (5-10%), including attendance at selected UBA conferences, meetings, or events.
