About the Position
The Scheduler plays a pivotal role in ensuring the success of Cambridge. This position requires close collaboration with Operations, Community Liaisons, and HR to facilitate effective communication and seamless operations. The Scheduler directly impacts client satisfaction, employee engagement, and overall business profitability.
The ideal candidate will demonstrate strong customer service abilities, experience in staff management, and the capability to oversee our 24/7 scheduling operations as part of a dedicated team. The Scheduler is responsible for ensuring the delivery of high-quality care while supporting, supervising, and directing staff.
Responsibilities
The Scheduler role responsibilities include:
- Align staff assignments with client needs and preferences as outlined in Individualized Care Plans.
- Analyze weekly profitability reports to identify trends, address loss leaders, and manage overtime.
- Collaborate with HR and Accounting to ensure accurate payroll and client billing.
- Ensure field staff adhere to internal policies, procedures, and all relevant federal and state regulations.
- Participate in second interviews and provide the final decision on Caregiver/CNA hiring.
- Train new field staff on the WellSky system, shift sign-ups, and effective communication with office staff, clients, and stakeholders.
- Share on-call responsibilities on a rotating basis with other Scheduling Department members.
- Communicate scheduling and personnel changes promptly to staff, Community Liaisons, and clients.
- Strong attention to detail with a commitment to shift accuracy and quality assurance.
Core Competencies and Qualifications
- Minimum of 3 years of experience in the Austin market as Client Care Coordinator, Caregiver Trainer, Scheduler, or PAS Administrator.
- Associate degree (2 years) or higher.
- Strong communication and interpersonal skills, with the ability to collaborate effectively across all levels of the organization.
- Analytical and problem-solving abilities, capable of responding to challenges in fast moving environments.
- Calm, respectful, and professional demeanor in interactions with clients, employees, and colleagues.
- Ability to manage multiple tasks and projects simultaneously while adapting to changing priorities.
- Initiative, discretion, and enthusiasm for retaining exceptional caregivers.
Preferred Qualifications
- Prior experience as a CNA or caregiver.
- Experience with MS Office Suite.
- Experience with scheduling software such as WellSky.
- Knowledge of the Home Health, Caregiving, or PAS industries.
Job Details

- Must be located in the Austin area or willing and able to commute to our office at least three days per week.
- Must also be willing and able to work from home on weekends and outside of regular business hours.
