As a Scheduling Specialist II, you will be responsible for providing services to patients and referring professionals by answering phones, managing faxes and scheduling appointments. This role serves as a resource to the Scheduling team and a SME for other departments. This is a full time remote position, working 9a-5:30p CST, Rotating Saturdays. ESSENTIAL DUTIES AND RESPONSIBILITIES: (80%) Scheduling Activities Serves as a SME (Subject Matter Expert) within the department Answer phones and handles calls in a professional and timely manner Maintain positive interactions at all times with patients, referring offices and team members Schedule patient examinations according to existing company policy Ensure all appropriate personal, financial and insurance information is obtained and recorded accurately Ensure all patient data is entered into information systems completely and accurately Ensure patients are advised of financial responsibilities, appropriate clothing, preparation kits, transportation and/or eating prior to appointment Communicate any scheduling changes to technologists in order to ensure the highest level of patient satisfaction Maintain an up-to-date and accurate database on all current and potential referring physicians Handle overflow calls for other Centers within market to ensure uninterrupted exam scheduling for referring offices Provide backup coverage for front office team members as requested by supervisor (i.e., rest breaks, meal breaks, vacations and sick leave) Field 1-800 number calls and routes them to appropriate department and/or team member (St. Louis Park Support Center only ) (10%) Insurance Activities Pre-certify all exams with patient's insurance company as required Verify insurance for same day add-ons Use knowledge of insurance carriers (example Medicare) and procedures that require waivers to obtain authorization, if needed, prior to appointment (5%) Team Support Function as an internal resource/SME for the team Assist in the training and onboarding of new team members, as applicable Support process improvement initiatives to improve scheduling accuracy and improve patient experience (5%) Other tasks and projects as assigned Required: High school diploma, or equivalent One (1) year medical scheduling and customer service experience Two (2) years' demonstrated ability to serve as a resource to others and identify process improvement opportunities Proficient using Microsoft Office Suite Proficient with using computer systems and typing Able to handle multi-level phone system with a high volume of calls at one time Preferred: Two (2) years' medical scheduling and customer service experience Medical terminology and previous clinical business office experience Bilingual RAYUS is committed to delivering clinical excellence in communities across the U.S., driven by our passion for and superior service to referring providers and patients.
