We currently have an opening for a Senior Administrative Coordinator, Programs & Services. The Senior Administrative Coordinator is responsible for coordinating operations for the Program and Services department and providing comprehensive support to the Chief Program Officer (CPO). The position reports directly to the COP and assists the National Directors within the Programs & Services (P&S) department in executing major initiatives and events, coordinating communication with external stakeholders, and supporting internal meetings, and department resource needs. This dynamic position requires the ability to anticipate needs, think critically, and deliver solutions to problems with a high level of professionalism and confidentiality. This full-time position can be either remote or based in our Arlington VA offices on a hybrid basis. Salary Range: $27/hr. - $30/hr. ($52,650 - $58,500) ESSENTIAL DUTIES AND RESPONSIBILITIES: Supports the CPO and works closely with P&S senior leadership to keep them well informed of upcoming commitments and responsibilities. Have a sense for the issues and priorities taking place in the environment and keep the CPO and senior leadership team updated, anticipating their needs in advance of meetings, presentations, etc. Complete a broad variety of administrative tasks that facilitate the CPO's ability to effectively execute on priorities, including assisting with special projects; designing and producing complex documents and presentations; collecting and preparing information for meetings; composing communications; maintaining contact lists; and managing calendar appointments. Act as a gatekeeper, strategically managing the CPO's time and energy with respect to priorities, goals, and deadlines. Support Senior level staff with managing grant deliverables as requested and work closely with that team to develop slide decks and other collateral for their internal and external presentations. Ensure P&S senior leadership accomplishes grant deliverables by developing timelines for projects and implementing project management. Prepare expense reports, process invoices, track payments and manage contract renewals or authorizations. Other duties as assigned. MINIMUM QUALIFICATIONS: 1 - 2 years in a corporate or professional setting, specifically supporting senior-level staff Excellent written and verbal communication, crucial for drafting correspondence and representing senior staff Outstanding organizational and time management skills, with the ability to organize daily workload based on emerging priorities A proactive approach to problem-solving with strong decision-making skills Strong organization and project management skills with an ability to shift focus quickly based on emerging, fast-paced priorities. Must be discrete and retain confidentiality of sensitive issues Possess technical aptitude and proficiency with program management software such as Asana. Proficiency with Microsoft Office suite and Adobe products Must pass background check Your salary is only one component of the total compensation package.
