The position’s primary focus is to provide outstanding administrative support, while representing the Firm in a professional manner, maintaining a positive attitude and functioning as a team player. Duties and responsibilities, as they align to Ryan’s Key Results People: Contribute to a collaborative team environment in which information and responsibilities are shared. Help establish consistent processes that can be followed to support team productivity. Client: Track important client requests, recommendations, approvals, deadlines and outstanding follow-up. Maintains calendar appointments and deadlines to ensure proper accountability and client deadlines are observed. Creates files, as needed, for clients and projects utilizing Microsoft® Excel and Access. Value: Maintains communications (e-mail, written, phone, and fax) while team is traveling. Tracks and reports time and expenses in detail for self and Manager as needed and assists with billing, bill slips, invoicing and related workflow coordination. Makes travel arrangements for team members as needed. Answers telephone calls and takes accurate and concise messages, escalating appropriately. Handles and safeguards confidential information and sensitive material. Utilizes strong grammar, spelling, and proofreading skills. Organizes and prioritizes multiple tasks and completes them under time constraints. Assists with other projects as needed. Performs other duties as assigned. Education and Experience: High-school diploma or general equivalency diploma (GED) required with three or more years related administrative support experience. Experience in client service, professional services, commercial real estate, legal services, accounting, consulting or a similar deadline-driven environment, a plus. Computer Skills: To perform this job successfully, an individual must have intermediate knowledge of Microsoft® Word, Excel, Access, PowerPoint, Outlook, and Internet navigation and research. Certificates and Licenses: Valid driver’s license required. Supervisory Responsibilities: This position has no supervisory responsibilities. Work Environment: Standard indoor working environment. Occasional long periods of sitting while working at computer. Occasional long periods of standing while copying. Position requires regular interaction with employees at all levels of the Firm; interface with clients and external vendors as necessary. 40+ hour standard workweek requirement.
