Purpose of the job

Take ownership of the day-to-day administration and company secretarial activities for a diverse portfolio of fund clients, while building your expertise across corporate governance, transactions and regulatory requirements. You'll work closely with clients, managers, banks and internal teams, gaining exposure to a broad range of fund structures and supporting key activities throughout the client lifecycle.

This is an opportunity to deepen your technical knowledge while taking on greater responsibility for client relationships and complex corporate activities. From supporting transactions and board meetings to maintaining high-quality client records and governance standards, you'll play an important role in delivering an exceptional client experience while continuing to develop your professional and coaching skills.

Main Responsibilities

  • Take ownership of the day-to-day administration and company secretarial activities for a portfolio of fund clients.
  • Build strong relationships with clients and stakeholders, providing professional support across a range of administration and governance matters.
  • Work closely with managers on client transactions, including mergers, acquisitions and investment disposals.
  • Support client onboarding and ongoing administration by maintaining high-quality due diligence documentation and client records.
  • Prepare statutory filings, board resolutions, minutes and other corporate documentation in line with relevant requirements.
  • Coordinate board and shareholder meetings, including the preparation and review of board packs and meeting documentation.
  • Attend client board meetings and prepare high-quality minutes for a range of fund structures.
  • Coordinate banking activities, including account openings, maintenance and payment instructions, working closely with banking partners.
  • Maintain accurate and complete client information across internal systems, including NAVOne and eFront.
  • Develop your knowledge of the Jersey regulatory framework and client constitutive documents to support effective client administration.
  • Conduct periodic client file reviews, contributing to consistent governance and administration standards.
  • Share knowledge and provide guidance to colleagues, contributing to a collaborative team environment and high-quality client outcomes.
  • Degree in Administration, Law, Accounting or a related discipline, or an equivalent relevant qualification.
  • ICSA, ICAEW, STEP or another professional qualification relevant to financial services would be beneficial.

Knowledge, Skills and Experience

  • Experience within fund administration, company secretarial, corporate services or a related financial services environment.
  • Strong understanding of corporate administration, governance processes and client servicing within a professional environment.
  • Strong communication and relationship-building skills, with the ability to engage effectively with clients, colleagues and external stakeholders.
  • Excellent organisational skills and attention to detail, with the ability to coordinate a range of client and corporate activities effectively.
  • Experience preparing corporate documentation, supporting board meetings and maintaining high-quality client records.
  • Ability to share knowledge and provide guidance to colleagues, contributing to their development and wider team success.
