Job Purpose About the Role The AI Coordinator is an integral part of our Data Services team. They will play a key role in ensuring top-notch production for our AI projects and be responsible for providing quality and innovation assistance to our project management teams. As part of the Data Services Team, the AI Coordinator will help design, implement, and manage our quality strategy, including production workflows, data analysis, and tracking of production KPIs. Expertise evaluating AI-related skills and managing production Control processes will be essential for this role. For further information, please visit: RWS TrainAI Job Overview Key Responsibilities Coordinate the delivery of Data Services projects (data annotation, data validation, data collection), with a strong focus on balancing resource planning, vendor coordination, and quality assurance throughout the project lifecycle. Serve as the key bridge between the Vendor Management department and the Quality department—requesting and allocating a qualified pool of raters from Vendor Management, while working closely with Quality on creating and refining project-specific guidelines to ensure both resource availability and quality standards are met. Maintain active written communication with all vendors (raters) on a daily basis, coordinating task assignments, providing timely feedback, and proactively following up with inactive or unresponsive vendors to ensure consistent throughput. Coordinate external Quality Assurance efforts, ensuring that vendor deliverables are continuously monitored and aligned with internal quality expectations. Handle internal reporting on project status, potential issues, exceptions, and resource utilization—using Excel for data consolidation and reporting. Proactively monitor and manage resource quality, responsiveness, and overall performance, escalating any gaps or risks to Vendor Management in a timely manner to maintain operational stability across all active initiatives. Skills & Experience Excellent verbal and written English proficiency—comfortable working in a fully English-speaking environment. Proven experience in project coordination or task management, ideally with a focus on vendor or external workforce management. Strong ability to balance resource planning, operational coordination, and quality assurance across multiple projects simultaneously. High attention to detail, with the ability to improvise, solve problems proactively, and work independently with minimal supervision. Solid knowledge of Windows and Microsoft Office, particularly Excel (pivot tables, data manipulation, reporting). Team-oriented mindset—willing to support and collaborate with colleagues in a high-pressure, fast-paced setting. Basic knowledge of HTML/XML, SQL, or any programming language is a plus, but not required.
