We have an exciting opportunity for a Sr Client Service Manager supporting our Novato, CA team! The Senior Client Service Manager serves as a trusted advisor and strategic partner to clients and financial advisors, acting as a primary point of contact and the welcoming face of the team. This individual builds strong, enduring client relationships while serving as a key leader within the client service function, ensuring accuracy, responsiveness, and the highest standards of service across all client-facing and administrative activities.

This role is responsible for delivering a highly personalized client experience through proactive relationship management, exceptional service, and expert coordination of complex client service and operational activities. The Senior Client Service Manager provides advanced support to financial advisors, oversees high-priority client requests and transactions, coordinates client communications and meetings, and helps drive the efficient and effective operation of the practice. Leveraging deep industry knowledge, sound judgment, and a commitment to excellence, this individual identifies opportunities to enhance processes, improve the client experience, and support business objectives.

In addition, the Senior Client Service Manager serves as a mentor and resource to other client service team members, providing training, guidance, and sharing best practices to support consistency, professional development, and service excellence across the office.

This is a fully remote position. We’re open to candidates located in Central Time Zone or Pacific Time Zone. Candidates located near Novato, CA are also welcome (but not required) to work from the office.

In the spirit of pay transparency, we are excited to share the base salary range for this position is $100,000.00 to $110,000.00, exclusive of bonuses and benefits. (Note: We currently have two openings in this office, one for a Sr Client Service Manager and one for a Sr Client Service Associate. Candidates are invited to apply to either or both depending on their experience level).

Primary Job Functions

Reception/Office Support

  • Answer phone calls and respond to client messages

  • Send routine follow-ups and status updates

  • Prepare and send meeting reminders

  • Manage inbound client requests (beneficiary updates, address changes, RMD questions, etc.)

  • Order office supplies and coordinate office maintenance

New Client Onboarding

  • Ensure accurate completion of prospect or new client paperwork/set up

  • Follow up on funds transfer from surrendering company

  • Maintain Salesforce database and client files

  • Research and follow up on any issues with the Broker/Dealer, WEG Operations, and vendors

  • Record incoming assets to the appropriate blotting tool

Client Relationship Management

  • Dialogue with clients to understand their personal history & current financial needs

  • Prepare account transactions, trades, deposits, withdrawals, RMDs, etc.

  • Communicate to understand client requests, determines what needs to be done; communicate to the advisor or handle issue resolution, includes death claim processing

  • May work with clients’ tax or legal counsel

Client Review Prep and Follow Up

  • Gather client data and may prepare the materials for client meetings and reviews

  • Conduct Tax Research (1099s)

  • Complete any review follow up needs for client

Industry, Product, and Company Knowledge

  • Demonstrate knowledge and can accurately execute against WEG’s Suitability Guidelines, operational processes and sales model

  • Understand financial terminology and products

  • Working proficiency with annuities, mutual funds, separately managed accounts, fixed income, stocks, options, alternative investments, hedge funds, charitable giving practices

  • Attend Client Services and company educational events

  • May attend vendor presentations

Team and Corporate Support

  • May assist FA in client meetings

  • Mentor and trains team members

  • Resolve escalated client issues

  • Complete operational projects to support enhancements and changes

  • Communicate process and sales updates to the team

  • Assist Advisor Team Operations (ATO) to streamline and update processes and systems upgrades

  • Participate in company-offered sessions (Micro Monday, ATO Answers, Client Service Community, RoundTable LIVE, etc.)

  • Serve as a subject matter expert for company initiative/rollouts

  • Manage vendors to Service Level Agreements

  • Other duties as assigned

Education/Qualifications

  • Bachelor's degree or equivalent, demonstrated through one or a combination of the following: work experience, training, military experience, education preferred

  • 7-10+ years of industry experience required, including client-facing experience

  • Experience with Salesforce (or comparable CRM) required

  • Experience with Schwab and Fidelity required; experience with Pershing preferred

  • Good working knowledge of Word, Excel, Outlook, and PowerPoint required

  • Excellent oral and written communication skills; ability to communicate effectively and work with all levels of staff and clients

  • Ability to prioritize workflow and projects; good problem-solving skills and strong attention to detail

  • Ability to work in a deadline environment and to be flexible under pressure

  • Ability to work as a team member and support more junior staff

  • Comfort with learning new AI applications and understanding their appropriate use cases and limitations; as AI technology evolves, continued learning and adaptation will be expected

WEG hires employees and makes decisions about their salary qualifications based on factors such as the role to be performed; educational and professional experience, qualifications, skills and credentials; tenure, cost-of-living and demand for the role in the applicable market. To comply with state, pay transparency laws, we must disclose the entire salary grade. The entire salary grade for those who are classified as this level is $57,750.00 to $126,000.00. However, the base salary range bolded above ($100,000.00 to $110,000.00) is what we expect to pay as a starting range for this position.
