  • Serve as the primary point of contact for event stakeholders, providing strategic guidance and a white-glove service approach
  • Manage event budgets, timelines, and resources while ensuring alignment with business objectives
  • Source and negotiate with venues, vendors, caterers, transportation providers, and production partners
  • Conduct site visits and venue assessments, evaluating event logistics, accessibility, and attendee experience

  • Oversee guest management, registration processes, communications, and day-of-event execution
  • Manage webinars and virtual events from intake through delivery, including platform setup, stakeholder preparation, rehearsals, and post-event reporting
  • Anticipate and proactively resolve issues to ensure flawless execution and an exceptional attendee experience
  • Build and maintain strong relationships with preferred vendors, venues, and industry partners
  • Mentor and support event coordinators, helping drive consistency and excellence across the event team
  • Evaluate event success through feedback, reporting, and lessons learned to continuously improve future programs

What You'll Bring

  • 5+ years of event planning experience, preferably within a law firm, professional services firm, or other client-facing corporate environment
  • Proven success managing multiple complex events simultaneously while maintaining exceptional attention to detail
  • Strong experience coordinating executive-level meetings, conferences, client events, and virtual programs
  • Outstanding project management, organizational, and time management skills
  • Exceptional written, verbal, and interpersonal communication skills
  • Ability to build credibility and influence stakeholders at all levels, including senior executives and external clients
  • Strong negotiation and vendor management experience
  • Comfort working with event technology, webinar platforms, audiovisual solutions, and collaboration tools
  • Ability to remain calm, flexible, and solution-oriented in high-pressure situations
  • Demonstrated ability to handle sensitive and confidential information with professionalism and discretion
  • Collaborative leadership style with experience mentoring or guiding junior team members

Why You'll Love This Role

  • High visibility with firm leadership and key client stakeholders
  • Opportunity to create memorable experiences that strengthen relationships and elevate the firm's brand
  • Exposure to a diverse portfolio of events ranging from executive meetings to large-scale conferences and virtual programs
