National Parks Conservation Association (NPCA) is the nation's oldest and largest national parks nonprofit advocacy organization. NPCA has an exciting opportunity for a Senior Development Coordinator on our Development team. JOB LEVEL: L JOB STATUS: Full-time (32 hours/week) FLSA: Exempt DEPARTMENT: Development LOCATION: Remote/Anywhere in the US IMMEDIATE SUPERVISOR: Deputy Vice President, Development SUPERVISOR’S SUPERVISOR: Vice President, Development INCUMBENT / NEW POSITION: Incumbent SALARY: $55,000 – 65,000 (based on experience and location) PRIMARY PURPOSE: The Senior Development Coordinator plays a central role in keeping the Development team organized, connected, and moving forward by providing executive, administrative, and project coordination support to the Vice President of Development (VP), Deputy Vice President of Development (DVP), and Development Management Team (DMT). This position supports executive fundraising efforts for the VP and DVP by assisting with portfolio strategy discussions, tracking donor activity in the fundraising CRM, and coordinating event planning and execution. The Coordinator supports departmental planning processes, including the Development Operating Plan (DOP) and quarterly priority setting, and keeps project management systems like Asana current so deadlines and priorities stay visible to the team. This role also supports recurring DMT meetings, including AI-assisted meeting documentation and action-item follow-up, to ensure decisions, priorities, and next steps are clearly captured and tracked. Additionally, the Coordinator supports Executive Office coordination, including travel, scheduling, and logistics, as well as preparation for Board and Philanthropy Committee meetings. The Coordinator also supports broader department operations, including staff onboarding and offboarding, and maintenance of shared systems, templates, and resources across the team. Working across Development teams and the Executive Office, the Coordinator helps ensure successful execution of key departmental initiatives. ESSENTIAL FUNCTIONS: ESSENTIAL FUNCTIONS % of Time Development Executive and Leadership Support Provide administrative and operational support to the Vice President (VP) and Deputy Vice President of Development (DVP). Conduct and capture notes for bi-weekly portfolio strategy meetings and quarterly portfolio reviews with the VP and DVP. Track donor activity and communication and upload into fundraising CRM. Assist in preparing donor meeting materials, prospect summaries, background research requests, and fundraising strategy documents. Support event management and logistics, including annual signature dinner and smaller donor events. Assist with special projects and strategic initiatives as assigned. 25% Development Planning, Operations & Team Coordination Support coordination and administration of the annual Development Operating Plan (DOP). Schedule, take notes and track quarterly team check-ins and progress reviews related to departmental goals and objectives. Support development, tracking, and reporting of departmental 90-day priorities. Coordinate Development Management Team’s (DMT) recurring meetings, keeping departmental priorities, deadlines, and action items visible, current, and tracked to completion. Maintain a shared, up-to-date view of departmental projects and priorities within Asana so status and workload are visible to the DMT team. Manage AI-assisted meeting documentation for DMT and other Development meetings, including automated note-taking, takeaway summaries, action-item capture, and tracking of carry-over items between sessions. Support adoption and effective use of department technologies, including Asana, SharePoint, AI-enabled tools, and collaboration platforms. Support and maintain departmental systems, tools, and processes that enhance communication, transparency, and operational efficiency. 35% Executive Office, Board & Committee Coordination Serve as a point of contact for Executive Office staff regarding development-related logistics and scheduling. Coordinate follow-up activities and task management resulting from Development Executive Office meetings, travel, and donor engagement activities. Coordinate executive travel planning, preparation, and follow-up processes for Development. Maintain travel workflows and task management systems within Asana. Coordinate preparation for Philanthropy Committee and Board meetings, tracking timelines and deadlines. Assemble meeting materials, briefing documents, presentations, agendas, and supporting resources. Track committee recommendations, action items, and follow-up responsibilities. Support communication and coordination between Development leadership and Executive Office stakeholders. 25% Department Operations & Administration Coordinate onboarding and offboarding processes for Development staff. Maintain SharePoint organization and structure for Development-wide operational and administrative resources. Maintain department templates, guides, and operational documentation. Coordinate department meetings, retreats, and other internal activities as assigned. Support department administration like ordering department supplies, coordinating cards/gifts for staff milestones, etc. Support special projects and department-wide initiatives. Promote effective communication, collaboration, and information sharing across Development teams. 15% OTHER FUNCTIONS: Performs other related duties as required and assigned. MINIMUM WORK SCHEDULE: Flexible. 32-hour four day work week, Monday through Thursday. Core office hours are 9:00 AM to 6:00 PM, Monday – Thursday. On occasion, some of the 32 hour workweek may need flexibility for rare nights and weekends that may be required, in exception of the four-day work week ethos, as dictated by event scheduling. Your manager will always work with you to provide latitude for work-life balance around events/donor experiences which may require you to work outside the four-day work week. MINIMUM SCOPE OF POSITION: This position requires the ability to communicate effectively with all levels of NPCA staff both in the Washington, D.C. office and regional offices. MINIMUM QUALIFICATIONS, COMPETENCIES, SKILLS, EDUCATION AND TRAITS: The ideal candidate will have: Two to four years of experience in project coordination, operations, development administration, executive support, or a related field. Demonstrated ability to coordinate multiple complex projects and priorities simultaneously. Experience supporting senior leaders and managing highly confidential information. Strong organizational, planning, and follow-through skills. Excellent written and verbal communication skills. Experience with project management and collaboration platforms, including Asana or similar systems. Strong proficiency with Microsoft Office and Microsoft 365 applications. Experience with fundraising databases and nonprofit operations preferred. Ability to work effectively with a diverse group of colleagues, stakeholders, and partners.
