Compensation: USD $1,500–$2,200/month + performance bonuses, based on experience and capability

THIS IS A FAST-PACED OPERATIONS ROLE — NOT A TRADITIONAL EXECUTIVE ASSISTANT POSITION.

We are not looking for someone whose job is simply to manage a calendar, book meetings, organize email, and wait for instructions.

This role operates directly beside a highly operational, direct and execution-focused COO inside a fast-growing company. Anthony moves quickly, priorities change quickly, and problems do not always arrive neatly packaged.

You may be asked to fix a process, build a tracker/dashboard, organize carrier data, coordinate recruiting, create an SOP, audit a workflow, follow up across departments, research licensing, build presentations, analyze data, coordinate legal matters, organize events, plan travel, or solve something with no existing process.

Your job is not to ask: “Is this part of my normal task list?”Your job is to ask: “What outcome does Anthony need, and how do I get it done?”THIS ROLE IS OPERATIONAL — NOT MARKETING.

Your world is operations, execution, people, processes, accountability, data, systems, licensing, carriers, recruiting, HR, SOPs, dashboards, projects, legal coordination, events and follow-up.

Anthony brings more than 30 years of leadership experience across private, public and government real estate, including 100+ high-end development projects, operations supporting $1.5B+ in real estate transactions, helping grow organizations into the hundreds of millions, scaling teams from 29 to 500+ employees, and building infrastructure for institutional capital, private equity and family-office relationships.

Anthony is direct, operational and execution-focused. He expects clarity, follow-through and ownership.

He needs someone who can keep pace with him.WHAT WE’RE BUILDING

Premier Protection currently insures more than $5 billion in real estate assets across insurance, real estate, private capital, strategic partnerships, and AI & automation.

Our stated objective is to build toward a $100 million company, targeting approximately 4X growth over the next 24–36 months.

YOUR REAL JOB

Your job is to help Anthony answer:

WHO OWNS IT?WHEN IS IT DUE?WHAT IS BLOCKING IT?IS IT ACTUALLY DONE?

This is active operational management.

Ideas → Projects → Owners → Deadlines → Follow-up → Completion → Documented Process

YOU WILL GET REQUESTS BEYOND YOUR DAILY AGENDA.

Some days will not look like your morning plan.

A client, carrier, licensing, recruiting, legal, travel or event issue may suddenly require attention.

Anthony may identify an operational problem and ask:

“Fix this.”

We expect you to understand the objective, ask intelligent questions, research what you do not know, build the plan, track execution and report the result.

Ambiguity should trigger problem solving — not paralysis.OPERATIONAL FOLLOW-UP & ACCOUNTABILITY

A major part of the role is relentless follow-up.

You will track leadership commitments, projects, recruiting, HR, licensing, carrier/legal matters, events, technology projects, deadlines, documents and executive decisions.

You should be comfortable asking: Where is this? Who owns it? What is blocking it? Why is it late? What is the new deadline? Then follow up until it is complete.

SOPs, CHECKLISTS & PROCESS BUILDING

If a process only exists in someone’s head, it is not scalable.

You will build SOPs/checklists, map workflows, document responsibilities, standardize processes, improve handoffs, identify gaps, create controls and build repeatable systems.

We want someone who sees recurring chaos and thinks: “This needs an SOP.”CARRIER & LICENSING ADMINISTRATION

You may help manage company/agency/producer licenses, renewals, carrier appointments, requirements, regulatory documents, carrier contacts, appetite information and outstanding appointments.

Anthony should be able to ask “Who is our contact at Carrier X?” and you should immediately know where that information lives.

HR & RECRUITING OPERATIONS

You will support sourcing, interviews, recruiting pipelines, job postings, follow-up, onboarding, employee records, PTO, training and internal policy administration.

You do not need to be the HR Director, but you do need to keep people operations organized.

DASHBOARDS, DATA & EXECUTIVE REPORTING

Anthony should not need to ask five people what is happening.

You will create visibility through executive/KPI dashboards, recruiting dashboards, carrier/licensing trackers, operational scorecards, project reports and weekly reporting.

You should be comfortable with Excel/Google Sheets, PowerPoint, SQL, dashboards, data visualization and operational reporting.

We want someone who can move from “Here are the numbers” to “Here is what the numbers mean and what needs attention.”

EVENTS & TRAVEL OPERATIONS

You will manage Premier’s event calendar, including insurance conferences, real estate events, leadership meetings, partner events, speaking engagements and internal events.

You may coordinate flights, hotels, transportation, registrations, meetings, attendee lists, restaurants, itineraries, preparation and follow-up.

The goal is to make the event run without Anthony managing it.EXECUTIVE SUPPORT STILL MATTERS

You will also handle senior EA responsibilities including inbox/calendar management, scheduling, emails, calls, notes, agendas, follow-up, research, legal coordination, presentations and administrative projects.

When required, you may also support Jerry Katz, CEO.

This is not “calendar first.” This is “company operations first.”AI SHOULD BE PART OF HOW YOU WORK

We want someone who actively uses AI to improve operations.

Tools may include ChatGPT, Claude, Gemini, Perplexity, Asana, Teams, Outlook, SharePoint, Excel, PowerPoint, CRM systems and automation platforms.

Use AI to draft SOPs/checklists, analyze data, summarize meetings, extract actions, create reports/presentations, research problems, build workflows, identify bottlenecks and automate repetitive work.

AI should make you faster, clearer and more scalable.FIRST 30 DAYS

Your first month is an operational audit.

Learn Asana, Anthony’s calendar, leadership meetings, projects, SOPs, licensing, carrier relationships, recruiting, PTO, events, reporting, dashboards and administrative processes.

Identify what lacks an owner, deadline, checklist, SOP or dashboard; what should be automated; and what recurring problems need a real fix.

BY DAY 90

Anthony should have more visibility and less operational drag.

Projects have owners. Deadlines are visible. SOPs and checklists are used. Licenses and carrier information are organized. Recruiting is visible. Events are planned. Reporting is consistent. Dashboards work. Asana reflects reality. Recurring problems become systems.

If Anthony is still personally chasing every operational detail after 90 days, we’re not winning.REQUIRED EXPERIENCE

We strongly prefer 4–5+ years in executive support, operations or administrative leadership.

Relevant backgrounds include Senior Executive Assistant, Executive Assistant to COO, Operations Manager/Coordinator, Executive Operations, Project Manager/Coordinator or Chief of Staff support.

You must have:

  • Fluent or near-native English
  • Strong Asana/project-management experience
  • Strong Excel / Google Sheets and PowerPoint skills
  • Executive calendar and inbox experience
  • Data-analysis ability
  • Experience creating SOPs and checklists
  • Strong written communication and follow-through
  • High attention to detail
  • Remote-work experience
  • AI fluency
  • Ability to work Eastern Time
  • Comfort working in a fast-paced, changing operational environment

Highly valued: Insurance, real estate, financial services, HR/recruiting, licensing/compliance, carrier relationships, SQL, dashboards, legal administration, events, process improvement and automation.

COMPENSATION & CAREER UPSIDEUSD $1,500–$2,200/month + performance bonuses

Final compensation depends on experience, English, operational maturity, technical capability and systems experience.

We’re not looking for the cheapest administrative assistant.

We’re looking for someone who creates operational leverage.

Strong performance can lead to greater responsibility, higher compensation, strategic projects and leadership opportunities.

THE INTERVIEW WILL BE DIFFERENT

Do not tell us “I’m organized.” Show us.

Be prepared to demonstrate sanitized examples of an SOP/checklist, dashboard, Asana project, executive report or recruiting tracker, process improvement, PowerPoint, SQL/AI use, and how you would manage 50+ open operational items.
