The RoleWe are seeking an experienced Senior Mobility Services Specialist to coordinate and manage employee mobility services, international assignments, relocation activities, immigration-related administration, and workforce movement support across the organization. The ideal candidate will bring strong expertise in employee relocation, global mobility operations, assignment administration, mobility policy management, vendor coordination, and cross-border employee support.
This role will focus on delivering reliable mobility services throughout the employee assignment lifecycle, from initial relocation planning and documentation to onboarding, ongoing assignment support, and repatriation or transfer. The Senior Mobility Services Specialist will collaborate with Human Resources, Talent Acquisition, Payroll, Finance, Legal, Project Management, Construction, external relocation providers, immigration service providers, and business leaders to ensure that mobility arrangements meet employee needs, project requirements, internal policies, and applicable United Arab Emirates laws and regulations.
Key Responsibilities- Coordinate employee mobility services for domestic relocations, international assignments, project deployments, and cross-border transfers.
- Manage the end-to-end administrative process for employee relocation, from initial planning through arrival, settlement, assignment changes, and departure.
- Assess mobility requirements based on employee circumstances, assignment duration, work location, project needs, and applicable company policies.
- Coordinate relocation timelines with Human Resources, hiring managers, project teams, and relevant operational stakeholders.
- Support workforce mobilization for construction projects, including employee deployment planning and coordination of assignment-related arrangements.
- Assist employees and managers with relocation procedures, required documentation, assignment timelines, and available mobility benefits.
- Coordinate immigration-related administration, including the collection and review of required documents for relevant work authorization and residency processes.
- Liaise with authorized immigration advisers, service providers, and relevant authorities where required to support application processing.
- Track visa, work authorization, residency permit, passport, and other mobility-related document expiration dates.
- Maintain accurate records of application status, required submissions, pending actions, approvals, and renewal deadlines.
- Escalate delays, missing documentation, or potential compliance issues that may affect employee deployment or assignment continuity.
- Ensure that mobility processes follow approved internal policies and applicable immigration, employment, and residency requirements.
- Coordinate with Legal and Human Resources to clarify mobility-related requirements and address complex employee assignment situations.
- Avoid providing unauthorized immigration or legal advice and refer specialized questions to qualified professionals.
- Manage relocation service requests and coordinate appropriate support based on employee eligibility and assignment requirements.
- Arrange or coordinate temporary accommodation, long-term housing support, transportation, shipment of personal belongings, and settling-in services.
- Work with approved relocation vendors to arrange destination services, local orientation, housing assistance, and other eligible relocation benefits.
- Coordinate travel arrangements associated with employee mobilization, international assignments, transfers, and repatriation.
- Support the preparation of relocation budgets and assignment cost estimates in collaboration with Finance and relevant business units.
- Explain relocation entitlements, reimbursement procedures, allowance structures, and eligibility criteria to employees and managers.
- Verify that mobility-related expenses are supported by appropriate documentation and comply with approved expense policies.
- Coordinate with Payroll and Finance to ensure that relocation allowances, assignment payments, reimbursements, and applicable deductions are processed accurately.
- Assist with the administration of mobility benefits, including housing allowances, travel benefits, relocation reimbursements, and other approved support.
- Maintain accurate employee assignment records, including assignment dates, locations, reporting lines, cost centers, and relevant approvals.
- Monitor assignment extensions, transfers, early returns, changes in work location, and other changes affecting mobility arrangements.
- Coordinate assignment change documentation with Human Resources, Payroll, Finance, Legal, and project management teams.
- Support employee onboarding activities associated with relocation and international assignment arrangements.
- Ensure that relocating employees receive relevant information regarding local procedures, workplace expectations, administrative requirements, and available support services.
- Coordinate with local HR teams and hiring managers to support smooth employee integration into new work locations.
- Provide practical guidance to employees regarding relocation milestones, required documentation, service provider contacts, and administrative processes.
- Serve as a primary point of contact for mobility-related inquiries and coordinate timely responses to employee requests.
- Manage mobility service tickets, monitor outstanding requests, and maintain clear records of actions taken and issues resolved.
- Handle employee concerns relating to relocation delays, accommodation arrangements, service quality, and reimbursement processing.
- Escalate complex cases and sensitive employee matters to appropriate HR or management representatives.
- Maintain a high standard of confidentiality when handling employee personal information, travel details, immigration records, and compensation-related documentation.
- Ensure that employee data is processed, stored, and shared in accordance with applicable privacy requirements and company policies.
- Maintain secure and accurate mobility records, including assignment letters, relocation approvals, service agreements, expense records, and supporting documentation.
- Develop and maintain mobility checklists, process guides, assignment templates, employee information packs, and standard operating procedures.
- Ensure that mobility documentation is complete, consistent, and available to authorized stakeholders.
- Coordinate with Talent Acquisition to identify mobility requirements for international hires and candidates relocating for project assignments.
- Support workforce planning by identifying upcoming relocation needs, anticipated deployment dates, and potential administrative constraints.
- Collaborate with Project Management and Construction teams to align employee mobilization schedules with project start dates and workforce demand.
- Monitor the readiness of employees scheduled for deployment and identify outstanding mobility requirements before their planned start dates.
- Support demobilization activities when employees complete assignments, leave projects, transfer to other locations, or return to their home countries.
- Coordinate repatriation arrangements, including travel, relocation services, assignment closure documentation, and applicable expense reconciliation.
- Assist with the administration of short-term business travel and longer-term assignments where these fall within the organization's mobility services framework.
- Coordinate with relevant stakeholders to assess travel and assignment requirements before employees are deployed across locations.
- Support the review and administration of mobility policies to ensure that procedures remain clear, consistent, and aligned with business requirements.
- Identify opportunities to improve relocation processes, employee communication, vendor coordination, and service delivery efficiency.
- Review mobility cases to identify recurring delays, documentation gaps, cost inefficiencies, and employee experience issues.
- Recommend process improvements that reduce administrative effort, improve compliance, and strengthen employee satisfaction.
- Monitor mobility service providers against agreed service levels, turnaround times, cost expectations, and quality standards.
- Coordinate vendor onboarding, service requests, invoice reviews, and performance feedback for relocation and mobility providers.
- Review supplier invoices and supporting records to verify that billed services align with approved arrangements and contractual terms.
