WHO WE ARE LOOKING FOR
Senior Payroll Specialist
The Sr. Payroll Specialist is responsible for supporting the Sr. Manager, Financial Operations in the full cycle payroll process, including local, state, and federal taxes, levies and garnishments, and maintenance of the payroll system as it pertains to payroll processing. This role also facilitates the reconciliation processes for the payroll function and ensures compliance with payroll laws.
This is a full-time, remote position.
WHAT YOU’LL DO
- Process multi-state bi-weekly and ad-hoc payroll for associates accurately and timely. This includes reviewing and/or calculating wages, overtime, deductions, and bonuses.
- Generate finalized and correct payroll reporting after bi-weekly payroll processing and provide additional payroll reporting by request.
- Ensure an associate-centric approach in responding to requests and questions from associates and management regarding payroll issues and discrepancies.
- Act as the first point of contact for payroll emails and questions, resolving associate questions related to payroll general questions or concerns; escalate to the appropriate point of contact as necessary.
- Deliver a best-in-class payroll experience by providing clear, accurate, and empathetic support to associates.
- Stay up-to-date with changes in labor laws, regulations, and best practices to ensure ongoing payroll compliance.
- Ensure compliance with federal, state, and local payroll regulations and tax laws.
- Coordinate the reconciliation of payroll accounts and resolve discrepancies, working closely with the accounting department to ensure all reports are provided in a timely fashion.
- Partner with the benefits and leaves teams to ensure accurate and timely processing of associate leave pay and deductions.
- Assist with quarterly reporting and year-end payroll processes, including W-2 preparation and distribution.
- Manage the interface for Flexible Spending Accounts and 401(k) accounts, performing periodic audits to ensure accuracy of the data sent.
- Monitor and audit integration reports for third party payroll/tax vendor and 401k plan.
- Research and recommend process improvements and payroll systems/updates.
- Assist in internal and external audits, including, but not limited to, the annual 401(k) audit and Internal Compliance audit (ICE).
- Provide back-up support for Canadian payroll and RRSP processing.
- Support other Total Rewards and HR team members as needed, including back-up support for administration-related questions, special projects, and other duties as assigned.
WHAT YOU BRING
- Bachelor’s degree in related field preferred, or an equivalent combination of work experience and education.
- 5+ years experience in Human Resources or Finance with at least 2 years in payroll administration.
- Strong understanding of payroll principles, practices, and regulations.
- Proficiency in payroll software (e.g., WagePoint, Workday, ADP, Paychex) and MS Office Suite, specifically Excel.
- Ability to operate effectively in a team environment with both technical and non-technical team members, both within accounting and outside of accounting.
Preferred Experience and Qualifications:
- Knowledge of multi-state and Canadian payroll.
- Experience collaborating with accounting teams to support internal and external audits, prepare accurate journal entries, and compile key financial data for reporting.
WORKING CONDITIONS
- This is a remote position, reliable internet is required.
- Sitting at a desk, and working on a computer for long periods of time.
- Occasional travel may be needed; occasional on-site meetings will be expected.
- Must be able to work PST core business hours and additional hours as needed.

Pay Range (US based applicants): $31.14 - $38.00 / hour
Actual compensation packages are based on a wide array of factors unique to each candidate, including but not limited to job-related skills, experience, certifications, relevant education and training, while also considering internal equity.
