Program Management and Execution
- Manage Cogency programs from kickoff through completion, anticipating needs and providing proactive communication to subscribers and stakeholders.
- Lead end-to-end coordination of live, virtual, and hybrid programs, including attendee recruitment, invitations, RSVP and calendar management, travel, honoraria, expenses, audiovisual requirements, and onsite or virtual execution.
- Partner with internal stakeholders on program planning, execution strategy, issue resolution, and continuous improvement initiatives.
- Ability to travel within the United States approximately 25% of the time.
Stakeholder, Faculty, and Vendor Management
- Serve as a primary point of contact for faculty, clients, vendors, and internal teams, building trusted relationships and escalating issues as needed.
- Select and manage venues and vendors in alignment with program requirements, budget expectations, and compliance standards.
Compliance, Documentation, and Budget Oversight
- Apply and reinforce SOPs and established processes to support consistent, compliant program delivery.
- Maintain accurate program data, records, payments, and documentation to support compliance, reporting, and performance analysis.
- Manage program budgets proactively, ensuring work remains within approved scope and budget parameters.
Team Guidance and Quality Standards
- Provide day-to-day guidance to Cogency team members on complex programs, best practices, quality standards, and consistent execution.
- Bachelor’s degree required.
- Minimum of 3 years of meeting or event planning experience, including responsibility for complex programs; pharmaceutical experience preferred.
- Live, onsite event experience required.
- Demonstrated knowledge of pharmaceutical event operations, industry compliance standards, and related documentation requirements.
- Strong organizational, analytical, and prioritization skills with the ability to manage multiple complex programs simultaneously.
- Excellent written and verbal communication skills, including the ability to interact effectively with senior-level stakeholders.
- Proficiency with Microsoft Office Suite and speaker bureau or meeting management systems.
- Ability to work independently, anticipate risks, resolve issues, and make sound decisions in a fast-paced environment.
- Continuous-improvement mindset with strong problem-solving skills.
- Strong attention to detail and documentation accuracy, with the ability to maintain compliant, audit-ready program records, budgets, payments, and related documentation.
- Demonstrated ability to coordinate faculty, vendors, venues, travel, audiovisual needs, and other logistics for live, virtual, and hybrid programs.
- Ability to provide informal guidance to team members on SOPs, program execution standards, issue resolution, and quality expectations.
