Description

Arrowfly, LLC seeks an experienced candidate for the position of Director, Sponsor Relations to join our Events team. This is a player-coach role: the Director carries a book of sponsor and exhibitor accounts, including our largest and most complex partners, and spends most of their time on hands-on execution, while supervising and training the Sponsor Relations team

The Director is responsible for how sponsorship fulfillment runs day to day across the live events business: making sure every contracted deliverable is met, every sponsor knows what to expect, and problems are caught before sponsors arrive onsite. This role works closely with sales, , marketing, and event operations. The position is remote, with frequent travel to our events. The ideal candidate is an organized, proactive events professional who is ready to lead a small team while staying close to the work.


YOUR KEY RESPONSIBILITIES


Team Supervision

  • Supervise the Sponsor Relations team day to day: assign accounts and priorities, hold weekly check-ins, and give regular feedback
  • Train on processes, tools, and sponsor communication, and review key deliverables for accuracy before they go to sponsors
  • Serve as the first escalation point for sponsor issues, and step in directly when an account needs it
  • Coordinate on-site coverage and responsibilities with the coordinator for each event

Manage accounts

  • Serve as primary point of contact for a book of sponsors and exhibitors, including the largest and most complex accounts, from contract signature through post-event wrap
  • Conduct pre-event kickoff calls to confirm deliverables, deadlines, and success criteria, and follow up after each event with a recap
  • Collect and track contracted deliverables for assigned accounts (logos, ad creative, session titles, collateral) and coordinate fulfillment with marketing and operations
  • Onboard and train sponsor teams on exhibitor portals, lead retrieval, event apps, and meeting-scheduling tools

Fulfillment and process

  • Maintain the master sponsorship planner covering contract terms, finance status, and fulfillment for every signed account, and ensure the coordinator’s updates are current and accurate
  • Build and manage sponsorship toolkits in the Cvent exhibitor portal
  • Manage exhibit floor plans, including booth assignments, using floor plan software
  • Own the sponsor and exhibitor communication plan (pre-event, on-site, and post-event) and keep templates, checklists, and exhibitor manuals up to date
  • Document processes as they are refined, and recommend improvements based on what worked and what did not at each event

Reporting and rebooking

  • Prepare weekly reporting on sponsorship pacing, fulfillment status, and open issues for events leadership
  • Track sponsorship inventory by event (sold, held, and available) and flag slow-moving assets to sales and portfolio leaders
  • Execute the on-site rebooking process with portfolio leaders and pass renewal opportunities and sponsor feedback to sales

On site

  • Lead sponsor check-ins during each event, work the floor with key accounts, and resolve issues in real time with operations, AV, and registration

Travel

  • Frequent travel, up to twice per month February through November, typically three to four days at a time, including extended on-site days
Requirements


WHAT YOU BRING


  • Bachelor’s degree in hospitality, communication, or related field
  • 5+ years of events experience in a client- or sponsor-facing role, including sponsor or exhibitor fulfillment
  • 2+ years supervising, training, or leading others
  • Experience working with General Services Contractors
  • Experience with Cvent or other event management software, and with floor plan software
  • High-level proficiency with Microsoft Office, particularly Excel
  • Ability to lead multiple concurrent projects, solve problems, and consistently meet deadlines with minimal supervision
  • Excellent customer service skills and the ability to work effectively in a high-pressure environment
  • Excellent verbal and written communication skills
  • Superior attention to detail, the ability to create procedures, and a desire for accuracy in job performance
