Job Description

As a Senior Administrative Assistant, you will play a pivotal role in enabling leaders and teams to operate efficiently and effectively. This role offers meaningful exposure across the organization, opportunities to influence outcomes, and the ability to make a measurable impact through exceptional organization, judgment, and service.

Responsibilities

  • Independently manage complex calendars, schedules, and meeting priorities for multiple senior leaders, coordinating logistics, facilities, technology, visitor access, and materials.
  • Prepare and manage travel arrangements, expense reports, invoices, presentations, reports, and internal and external communications.
  • Review, prioritize, and when appropriate respond to emails and requests on behalf of leaders while ensuring timely follow-up on critical actions.
  • Coordinate team programs, recognition activities, budgets, timekeeping processes, off-site meetings, conferences, and special events.
  • Maintain distribution lists, manage shipping and supply needs, and submit and track workspace, building, maintenance, and access requests.
  • Provide project and program support through researching issues or questions about polices or practices, coordination of events, and execution of administrative initiatives.
  • Mentor and train administrative staff and provide backup support across teams as needed.

Qualifications

  • 3-5 years of administrative support experience with responsibility for supporting senior leaders, managing competing priorities, and handling sensitive information.
  • Demonstrated ability to work independently, anticipate needs, and exercise sound judgment in a fast-paced environment.
  • Associate degree or equivalent required; bachelor's degree preferred.
  • Proficiency with Microsoft Word, Excel, PowerPoint, SharePoint, Outlook, Copilot or similar AI-enabled tools, Concur, and purchasing systems.
  • Strong organizational, communication, collaboration, and problem-solving skills with the ability to adapt quickly to changing priorities.
  • Ability to manage multiple tasks simultaneously while maintaining accuracy, professionalism, and confidentiality.

We are a client-centric, relationship-based business. Working together, in-person, is foundational to how we achieve results. By fostering a culture of face-to-face collaboration, idea sharing, productivity and personal connection, we deliver for our stakeholders - clients, advisors, employees and shareholders. Our employees work in the office at least four (4) days per week, with flexibility to work from home one (1) day per week. Some roles may require additional in-office time or different in-office expectations, and specific requirements will be discussed during the hiring process.
