Sr. Executive Assistant

Is this job info correct?

At Instructure , we believe in the power of people to grow and succeed throughout their lives. Our goal is to amplify that power by creating intuitive products that simplify learning and personal development, facilitate meaningful relationships, and inspire people to go further in their education and careers. We do this by giving smart, creative, passionate people opportunities to create awesome. And that's where you come in: Sr. Executive Assistant to the Chief Customer Officer Our Chief Customer Officer leads the Customer Experience organization at Instructure: Customer Success, Support, Professional Services, Community, and Training. That's close to 900 people around the world, and it's the part of the business that keeps our customer with us for the long haul. She moves fast. She works across the executive committee, the board, our investors, and some of the largest universities and school districts in the world. She needs a sharp, proactive partner who keeps the whole operation in motion so she can spend her time on the decisions only she can make. This isn't a traditional support role. It's a strategic one. You'll run the operating rhythm of a C-suite executive, build real relationships across the business, and think two steps ahead so nothing falls through the cracks. If you want to learn how a global customer organization actually works, from the inside, this is the seat. What you'll do The Foundation Own the CCO's calendar... prioritize ruthlessly, protect time for deep work, and make sure every meeting has a purpose. Book and manage all domestic and international travel end to end, including customer visits, conferences, and board meetings. Arrange ground transportation, meals, and logistics before anyone has to ask. Process and reconcile expenses accurately and on time. Handle confidential information, from org changes to customer escalations to board materials, with discretion and sound judgment. Partner closely with the CCO's direct reports, VPs, and their teams to anticipate what's coming. The Operating Rhythm Run the cadence of the CX organization: staff meetings, leadership reviews, quarterly business reviews, and all-hands. You'll own the calendar of the business, not just the calendar of one executive. Build agendas that drive clarity and decisions, and make sure the CCO walks in prepped. Capture decisions and action items in the room, then chase them to done. You'll be the person who remembers what we committed to three weeks ago. Pull together briefing docs for customer and executive meetings: who we're meeting, what's happened on the account, and what we want out of the conversation. Keep executive materials moving: board and executive committee decks, customer memos, and leadership updates. You won't write the content on day one, but you'll own the deadlines, the versions, and the quality of what goes out. Track the few priorities that matter most each quarter and flag it early when something starts to drift. Coordinate across Sales, Marketing, Finance, People, and Product on the work that crosses org lines. The Human Side Plan recognition moments, offsites, and team events that feel personal instead of programmatic. Source and send thoughtful gifts and touches for employees and customers. Support customer executive engagement: dinners, campus visits, conference hospitality, and follow-up. Be a steady, welcoming front door to the CCO for anyone in the company. What you'll need Five or more years supporting C-suite or senior executive leaders, ideally in a fast-paced tech or SaaS environment. A reputation for trustworthiness, discretion, and real respect from colleagues. Strong calendar management and a clear approach to prioritization you can explain and defend. Excellent written communication. You can draft a crisp note, agenda, or summary with minimal input. Comfort building relationships and working cross-functionally at every level, from coordinators to the CEO. Highly organized and adaptable. Shifting priorities don't rattle you. Curiosity about the business itself. You ask why a meeting exists, why a number moved, and what happens next. Comfort with data and detail. You can read a dashboard, spot the number that looks wrong, and raise your hand. Sound judgment about what deserves the executive's attention and what you can resolve yourself. Low ego, high standards, and a growth mindset. You do the work because it matters. Proficiency with Google Workspace, Slack, and expense tools (Brex, Coupa, or similar). Working fluency with AI tools, or real eagerness to build it. We use them every day. Nice to have Experience at a private equity or venture-backed company, including exposure to board or investor reporting. Experience supporting a customer-facing or revenue organization. Project management experience, formal or scrappy. Familiarity with education, edtech, or another mission-driven industry. How this role grows We're hiring for the next few years, not the next few months. You'll start with the calendar, the travel, and the operating cadence, because that's how you earn context and trust. Over time, the work shifts toward the business itself: owning projects end to end, preparing analysis and materials for the executive committee, and standing in for the CCO in rooms she can't be in. If you want to build a long career as a world-class executive assistant, there's a real path here and a leader who will invest in it. If you want to grow into broader operating and strategy work, we'll build that path with you too. Either way, you'll learn more about how a global business runs than you would in almost any other seat. Get in on all the awesome at Instructure! We offer competitive, meaningful benefits in every country where we operate. While they vary by location, here's a general idea of what you can expect: Competitive compensation, plus all full-time employees participate in our ownership program - because everyone should have a stake in our success. Generous time off, including local holidays and our annual “Dim the Lights” period in late December, when teams are encouraged to step back and recharge based on departmental needs. Comprehensive wellness programs and mental health support Learning and development resources, including professional development tools and tuition reimbursement, to support your growth The technology and tools you need to do your best work Motivosity employee recognition program A culture rooted in inclusivity, support, and meaningful connection We believe in hiring great people and treating them right.
