WHAT YOU WILL DO The Sr. HCI Strategic Project Planning Associate supports project planning and execution activities for HCI initiatives by coordinating project documentation, timelines, stakeholder inputs, budget planning support, User Acceptance Testing, post-production validation, reporting, and issue escalation. This role partners with project management, business stakeholders, OEM/vendor partners, IT, sales, marketing, operations, accounting, and other cross-functional teams to help maintain project momentum, track deliverables, identify potential risks or delays, and support timely communication to stakeholders and management. HOW YOU WILL MAKE AN IMPACT Coordinate project lifecycle documentation and deliverables, including intake materials, requirements, business decks, project timelines, post-production validation plans, and post-mortem summaries. Schedule and document required meetings, track approvals, prepare reports and dashboards, communicate status updates to stakeholders and management, and support process improvements using tools such as Microsoft Project and data visualization platforms. Support planning and coordination for defined project workstreams or smaller scoped initiatives, including business requirements documentation, vendor coordination, budget planning support, status communication, timeline tracking, and follow-up on assigned deliverables. Track project deliverables against established timelines, monitor potential delays, and escalate risks or missed milestones to the appropriate project lead or manager. Work with cross-functional teams to gather updates, document issues, support risk mitigation activities, and help keep assigned workstreams on track. Support development of User Acceptance Testing (UAT) plans in partnership with stakeholders, coordinate testing activities, document defects and status updates, and facilitate defect triage discussions. Assist teams in resolving testing issues by organizing working sessions, engaging appropriate subject matter experts, and communicating risks or blockers to stakeholders. Assist in identifying process pain points, documenting current-state workflows, analyzing gaps, and developing recommendations for improvement. Partner with departments, teams, and vendors to gather input, support solution development, and help implement approved process changes. Support development and maintenance of the HCI Project Roadmap by gathering business input, analyzing project information, and aligning updates with relevant managers. Partner with the Sr. Manager to monitor roadmap changes based on executive direction, business priorities, and project timeline updates. Qualifications WHAT YOU WILL BRING TO THE ROLE Minimum 4-6 years of related experience in project coordination, business analysis, operations planning, process improvement, or related business support functions. Experience supporting project lifecycle activities, including requirements gathering, workflow documentation, timeline tracking, status reporting, stakeholder follow-up, and UAT planning or execution. Experience working with IT, technical teams, business partners, or vendors to document issues, track deliverables, support testing or validation activities, and create or interpret reports, dashboards, metrics, or business specifications. Bachelor’s degree in business, finance, project management, operations, information systems, or related field. Project management, process improvement, or business analysis certifications, such as PMP, CAPM, Green Belt, or related credentials, are preferred but not required. Proficiency with Microsoft Word, Excel, PowerPoint, Visio, Project or similar project tracking tools, and data visualization/reporting platforms such as Tableau, OBIEE, Power BI, or related tools. Strong coordination and planning skills, including task tracking, requirements documentation, meeting coordination, UAT support, status reporting, and follow-up on assigned deliverables. Strong analytical, critical thinking, and problem-solving skills to identify issues, organize information, support recommendations, and resolve routine project or process issues. Excellent verbal and written communication skills, including the ability to prepare clear status updates, meeting notes, project documentation, and stakeholder communications. Ability to collaborate with internal business partners, technical teams, and external vendors to gather input, clarify needs, support alignment, and maintain positive working relationships. Highly organized, adaptable, and self-directed, with the ability to manage competing priorities, complete assigned deliverables with limited oversight, and work independently or as part of a team. Knowledge of process flow documentation, basic process mapping techniques, and IT systems concepts, including data files, databases, system integrations, and data mapping.
