About the Role Companies growing as fast as Holafly rarely stall for lack of good ideas. They stall when decisions get stuck, priorities blur, and good work slips through the cracks between teams. This role exists to prevent that. Part operations manager, part chief of staff, you'll be the strategic right hand to the Head of Operations — running the operating system that keeps leadership aligned and the company moving as one. You'll own the rhythm at the top — the forums where the big calls get made and the follow-through that turns them into reality — and you'll be the owner of cross-functional alignment, keeping 800+ people across 60 geographies rowing toward the same objectives. You'll set the bar for operational excellence: designing the processes that let the company run well, and making sure nothing important falls through the cracks. Part of the job is running the machine; part is building a better one. It's strategy and execution in one seat — with a direct line to leadership and the mandate to make the whole thing run better. Key Responsibilities Run the leadership operating cadence end to end — weekly, monthly, quarterly, and All Hands. Own the agendas, pre-reads, and materials, and the follow-through so nothing decided in the room dies there. Lead monthly and quarterly business reviews: prepare the materials, synthesize the insights, and make sure follow-ups drive real action. Own the weekly operating rhythm — performance reviews, KPI and OKR tracking, variance analysis, and strategic escalations. Prepare leadership for the decisions that matter: turn scattered inputs into concise, decision-ready material for the Head of Operations and the executive committee. Keep one live record of decisions and commitments and chase every one to closure — raising the bar on executive-level follow-through so nothing gets left undone. Keep a clear, company-wide view of priorities, timelines, and progress — so leadership always knows what's moving, what's at risk, and what's next. Be the owner of cross-functional alignment company-wide — connect teams, break down silos, and keep everyone rowing toward shared objectives. Raise the bar on operational excellence: set the standard for how well Holafly runs, close the gaps others miss, and hold the whole company to it. Map, standardize, and scale the core processes, frameworks, and playbooks that span teams — from planning cycles to KPI tracking to the day-to-day mechanics of how work actually gets done. Hunt down friction, bottlenecks, and inefficiency wherever they slow the company down, and rebuild the process so the fix sticks. Lead 1–3 high-priority strategic and operational initiatives at a time, from framing to done, driving adoption along the way. Track actions, risks, and dependencies across initiatives — surface issues early and keep everything moving on course. Requirements 5+ years in strategy & operations, business operations, strategic program management, chief-of-staff, or strategy consulting roles — with a track record of executing, not just advising. Clear experience turning data into recommendations — not just reporting results, but synthesizing insights into "what we do next." Ability to challenge assumptions, pressure-test inputs, and navigate ambiguous or incomplete data. A proactive, structured problem-solver who can pick up unclear problems, untangle them, and deliver clarity with minimal guidance. Proven ability to design, implement, and scale operational processes — and to raise the bar on how well an organization runs. Strong cross-functional experience, excellent communication with senior stakeholders, and the ability to influence without direct authority. Hands-on and pragmatic — as good in the detail as in the strategy. Fluent English (our working language). Based in Ireland or Portugal, able to work fully remote. Bonus Experience using AI and automation to improve workflows, launch projects, or scale processes. Background in travel-tech, e-commerce, or another high-growth digital business. Familiar with tools like Notion, Confluence, Google Workspace, and project-management platforms. Experience preparing materials for executive or board-level audiences.
