We are seeking to hire two Student Assistants to join the Department of State Hospitals (DSH) Technical Services Division (TSD). Join our Department of State Hospitals (DSH) Technical Services Division (TSD) Student Assistant program and get hands-on experience across the full IT business and technology lifecycle. You’ll learn how IT teams support internal customers, troubleshoot and route technical issues using a tiered support model, and work alongside IT professionals in IT Service Desk and IT Asset Management. Also learn about the business aspects of managing technical work through IT Project Management, Business Analysis, Portfolio Management, Procurement, Contracts, and Vendor Management. Through real-world business workflows and projects, you’ll build practical skills, explore different IT career paths, and gain experience you can take with you into your future career.

Employment

This is a part-time, temporary, non-benefited, student position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. This means that either University Enterprises, Inc. or the employee can, at any time, terminate the employment relationship at will, with or without cause.

Depending on the type of position you are applying for, a pre-employment background check consisting of one or more of the following may be conducted: employment history, professional references, criminal check: educational verification (degree, license, or official transcript) or DMV clearance. Prerequisites

Must be a college student attending classes during the regular term (Fall, Spring and Winter, if applicable), at one of the accredited colleges or universities on our affiliation list.

Students must be enrolled in at least: six-semester units or nine quarter units for undergraduate students; four-semester units or six quarter units for graduate students.

Students declared major must match the major(s) listed in the job posting.

Majors/Fields of Study

Information Technology or Business Technology Management.

Work Schedule

Flexible workdays and work hours, Monday – Friday, between 8 AM – 5 PM. The final work schedule will be determined by the supervisor.

Additional Work Schedule

Student Assistant and Graduate Assistant employees generally work up to 24 hours per workweek (Sunday – Saturday) during the academic year and up to 40 hours per workweek during breaks; (winter, spring, and summer).

Compensation

$21.00 - $25.00 per hour.

Duties and Responsibilities

  • Support the Business Management Section of the Technology Services Division in a learning capacity, gaining hands-on experience in IT Business Management activities.
  • Assist with project coordination, IT procurement coordination, and PIR/intake processes under the direction of the Administrative Services Unit Supervisor and/or Business Management Section Supervisor.
  • Manage and update IT Business Management operational queues, including IT procurement requests, Project Idea/Demand submissions, PIR/intake requests, and ticket/work assignments.
  • Create and organize work assignment folders for IT procurement, project coordination, and intake activities to maintain consistent documentation and workflow processes.
  • Work with requestors and stakeholders to obtain, organize, and verify complete and accurate documentation for technology requests, procurement activities, and project intake requirements.
  • Assist with preparing forms, routing documentation, and obtaining required approvals in accordance with departmental policies, procurement standards, and IT governance processes.
  • Provide customer support for invoice routing, approval, and documentation processes, ensuring accuracy, timeliness, and compliance with departmental procedures.
  • Coordinate with DSH Accounting, TSD Approvers, IT Procurement, and other stakeholders to support workflow continuity, resolve issues, and facilitate timely processing.
  • Maintain tracking logs, update status records, and assist with obtaining required approvals to support transparency and accountability for invoice and procurement activities.
  • Communicate with requestors to obtain additional documentation, information, or clarification needed to process invoices, procurement submissions, and IT Business Management requests.
  • Create and update ServiceNow tickets, Idea submissions, Demand entries, and other work assignments to support IT procurement, project coordination, and PIR/intake processes.
  • Accurately report hours and participate in the TSD student mentorship program under the guidance of the TSD Human Resources Liaison.

Physical Requirements

Sit for extended periods; frequently stand and walk; manual dexterity and hand-eye coordination; corrected hearing and vision to normal range; verbal communication; use of office equipment including computer workstations, telephones, calculators, copiers, printers, and scanners with or without reasonable accommodation.

Working Conditions

Work is performed in an Hybrid environment.

Students/Employees will be required to work according to the current UEI remote workplace policy and sign a UEI Work from Home Agreement. The decision to permit an employee to work from home is at the discretion of the supervisor or employer and may, at any time and with or without cause, unilaterally terminate the option to work from home.
