Job Description
Position Summary
The Supervisor, Integrated Investment & Operations is responsible for overseeing the operational excellence and lifecycle management of digital media campaigns across assigned client accounts. This role serves as the central operational hub connecting Media Planning, Investment and Finance.
The Supervisor ensures that all campaign details on client-approved blocking charts are accurately translated into Mediaocean (Prisma) Book, Bill & Pay (BBP) orders, actively maintained throughout flight, and reconciled flawlessly at campaign close. The ideal candidate pairs deep expertise in media buying platforms and ad tech workflows with rigorous attention to detail and cross-functional leadership.
Key Responsibilities
1. Order Management & System Synchronization (Book, Bill & Pay)
- Order Creation & Maintenance: Build, manage, and audit all media authorizations, insertion orders (IOs), and Book, Bill & Pay (BBP) line items in Mediaocean (Prisma).
- Blocking Chart Parity: Ensure strict 1:1 synchronization between client-approved media flowcharts/blocking charts and Prisma procurement structures across all media partners, tactics, placements, and flight dates.
- Change Order Management: Facilitate real-time revisions, budget shifts, and schedule reallocations, ensuring corresponding Prisma buy orders, billing parameters, and vendor IOs are updated promptly.
2. Campaign Lifecycle & Workflow Orchestration
- Pre-Launch Setup & QA: Oversee campaign setup workflows, including creating estimates and client taxonomy generation.
- In-Flight Stewardship: Partner with Activation and Business Solutions teams to monitor pacing, delivery, and discrepancy tracking between Prisma, ad servers, and vendor reports.
- Billing & Financial Reconciliation: Support monthly actualization, clearance of invoice discrepancies, and vendor payment approvals by working with Operations and Finance to prevent billing bottlenecks and maintain clean audit trails.
3. Cross-Functional Coordination
- Internal Hub: Act as the primary operational liaison between Strategy/Planning, Investment, and Billing/Finance teams.
- Vendor Governance: Issue official vendor Insertion Orders (IOs), manage terms/attestations, and resolve delivery, tracking, or billing disputes alongside Business solutions and Activation teams.
- Process Optimization: Identify operational friction points across the campaign lifecycle and implement standardized templates, naming conventions, and QA checklists.
4. Team Leadership & Quality Assurance
- Mentorship & Development: Train, mentor, and supervise junior operational staff (Associates / Coordinators) on Prisma order entry, workflow standards, and troubleshooting procedures.
- Audit & Compliance: Conduct regular internal audits on active accounts to maintain standard operating procedures (SOPs) and data integrity across all systems.
Qualifications
- Experience: 3–5 years of hands-on experience in media operations, investment, or campaign management within an agency environment.
- Platform Proficiency: Advanced proficiency in Mediaocean (Prisma).
- Workflow & Billing Expertise: Deep understanding of agency financial workflows, media billing cycles (Book, Bill, Pay), media authorizations, and invoice reconciliation.
- Organizational Acumen: Exceptional analytical, organizational, and problem-solving skills with a high degree of precision and accountability.
- Communication: Strong interpersonal and communication skills to effectively manage relationships across cross-functional internal teams and external media partners.
