We are seeking an organized, detail-oriented, and patient-focused Surgical Coordinator to join our Vascular Surgery team at Brigham and Women's Hospital. In this important role, you'll coordinate surgical procedures for our vascular surgeons, manage preoperative appointments and testing, and help ensure patients experience a smooth, well-organized journey from scheduling through surgery.

What You'll Do
- Coordinate and schedule surgical procedures for all vascular surgeons at Brigham and Women's Hospital, ensuring accurate and timely scheduling.
- Arrange necessary preoperative testing, appointments, and related scheduling requirements to help patients prepare for surgery.
- Collaborate with surgeons, clinical teams, and administrative staff to coordinate surgical schedules, manage changes, and support efficient practice operations.
- Serve as a key point of contact for patients, providing scheduling information, answering questions, and communicating appointment details.
- Schedule patient visits, maintain accurate appointment records, and support patient check-in and check-out processes as needed.
- Assist with prior authorization inquiries, insurance-related documentation, and communications involving prescriptions, provider questions, and test results.
- Maintain accurate patient records in Epic, including scanning clinical documentation, processing billing forms, and requesting medical records and laboratory results.
- Serve as an Epic Super User for scheduling, registration, and billing systems, providing guidance and training to colleagues as needed. Epic training is provided!
- Support daily administrative operations, including managing correspondence, maintaining schedules, and coordinating other practice-related activities.
Qualifications
- High school diploma or equivalent required.
- 2–3 years of office experience required.
- Proficiency in Microsoft Office Suite and familiarity with standard office operations and administrative procedures.
- Strong written and verbal communication skills with the ability to communicate effectively with patients, providers, and colleagues.
- Excellent organizational, multitasking, and time management skills with strong attention to detail.
- Ability to manage routine and non-routine phone inquiries, resolve routine issues, and maintain accurate documentation.
- Ability to manage multiple priorities, follow established protocols, and work collaboratively in a fast-paced healthcare environment.
