We're looking for a motivated, talented, and innovative Talent Acquisition Coordinator (d/f/m) to deliver first-class coordination support for our talent acquisition teams. In this role, you must be able to work independently, take hands-on approaches, pay high attention to detail, and interact effectively with candidates, hiring managers, and business leaders on all levels. With that, we lay the foundation to hire the best talent for Personio!

Key Responsibilities: What You’ll Do

  • Seamless coordination: You deliver a seamless interview and hiring process for on- and offsite candidates, orchestrating all parties involved

  • Complex case management: You manage complex interview cases while ensuring a great candidate experience throughout the whole interview lifecycle

  • Data-driven improvement: You improve our hiring SLAs using data such as candidate feedback, time to hire, and interview capacity to deliver an excellent candidate and stakeholder experience

  • Process gatekeeping: You balance business requirements and candidate experience as the hiring process gatekeeper

  • Automation & innovation: You drive automation of repetitive tasks, from interview scheduling tools to candidate communication materials

  • AI-enabled efficiency: You use AI tools to streamline scheduling, communication, and other repetitive TA tasks, freeing up time for high-touch candidate and stakeholder work

  • Infrastructure ownership: You help maintain our talent acquisition infrastructure, including assets and settings within our ATS, CRM, and other TA-wide tools

  • Training enablement: You support, develop, and maintain internal TA interview training initiatives to enable a best-in-class interview process

Role Requirements: What You’ll Need

  • Coordination experience: You bring deep experience in talent coordination or a closely related role, ideally in a fast-paced environment

  • ATS expertise: You have experience with in-house Applicant Tracking Systems

  • High-volume scheduling: You have experience scheduling interviews at scale, across multiple roles simultaneously

  • Candidate-first communication: You communicate with candidates and business stakeholders with a genuine "customer first" mindset

  • Prioritization & problem-solving: You prioritize competing tasks efficiently and identify and resolve problems quickly

  • Process improvement mindset: You naturally look for ways to improve TA processes and initiatives

  • AI fluency: You have hands-on experience using AI to improve your workflow, and the sound judgment to know exactly when to rely on it and when to step in yourself

  • Organizational skill: You manage multiple stakeholders and a full workload without dropping details

  • Language: You are business-fluent in English

At Personio, we value in-person collaboration while also offering flexibility. This role is office-based, with 3 days per week required in your contracted office location. The remaining days can be worked from home or in the office if you prefer. In addition, you'll have 20 Flex Days per year to work remotely from other locations.
