Job Summary
The Tax Operations Associate 3 is responsible for analyzing financial payroll data to determine employer tax liability and tax account registration requirements. This role ensures employers are properly registered for local, state withholding and state unemployment taxes, maintaining a compliant account status, and strong client relationships, combining technical tax knowledge with customer service skills. The Associate 3 position performs daily tax reporting to calculate and administer federal tax deposits across multiple states and waiver plans in accordance with federal regulations. This role performs detailed tax reconciliations, manages tax notices and provider tax inquiries, performs tax account registrations and disenrollments, and collaborates with internal teams and external tax agencies to resolve discrepancies and maintain compliant tax accounts. The position requires strong analytical, organizational, and time management skills to support a high volume of tax account registrations and daily federal payment deposits.
Key Responsibilities:
Payroll Tax Compliance & Regulatory Knowledge
- Coordinates and administers multi-state payroll tax compliance, with a primary focus on Local and State compliance of tax account requirements and form revisions.
- Understands W-2 and 1099 IRS reissue requirements.
- Research tax registration compliance and form changes to ensure the delivery of quality tax services to customers.
- Complete daily audits of deposit emails and document management for audit requirements.
Tax Administration & Registration Management
- Coordinates and administers multi-state payroll tax registrations, account maintenance, and disenrollments.
- Performs functions to review and upload authorized documents to our third-party tax representative accounts to allow PPL to perform all tax related responsibilities and revoke authorization where applicable.
- Calculates, documents, and validates tax files and ensures accurate settlement of daily and quarterly federal tax deposits.
- Manages tax notice logging, resolution and document filing.
- Prepare written correspondence to address tax registration issues with tax agencies to resolve outstanding issues.
- Verbally communicate with tax agencies over the phone to resolve registration issues.
Project Management & Process Improvement
- Performs special projects as needed for tax account data integrity.
- Communicate state portal changes to Supervisor to ensure internal processes are accurate and current.
Customer Service & Issue Resolution
- Manages multistate tax inboxes, delegating or responding to tax agency email communications to solve outstanding issues or inquiries within contract requirements
- Manages provider case requests to reissue annual W2 and 1099s based on IRS regulations.
- Review and delegate tax voicemails to the correct department required to resolve the inquiry at hand through case creation in the internal database system (CRM).
Stakeholder Management & Communication
- Establishes and maintains excellent communication with tax agency staff at local and state levels.
Audit & Risk Management
- Participate in audits as needed.

Qualifications:
Education: College education is preferred or equivalent work experience required.
Experience: 2+ years of experience in data entry or financial administration experience in a payroll environment.

Working Conditions: Remote Setting
Compensation: $20.00 - $22.50
This role is eligible for a base salary within the posted range. Actual compensation will be determined based on a variety of factors, including skills, experience, and geographic location. Compensation may vary for positions based in high cost-of-labor markets.
