Job Purpose:

The Team Assistant provides administrative, operational and coordination support to the SVP of Publicity & Communications and the wider North America Communications & Publicity team.

This role supports a broad cross-business communications function across both the DTC side of the business, including communications, publicity, talent relations, BritBox and BBC Select, and the BBC Studios side of the business, including Commercial News, ad sales communications and internal communications.

The Team Assistant helps keep a busy, fast-moving and externally facing department running smoothly. The role requires strong organization, good judgment, attention to detail and the ability to manage scheduling, logistics, financial administration, team coordination and day-to-day operational needs. This is a foundational support role that creates leverage across the team and allows senior leaders and managers to stay focused on strategic, creative and delivery-critical work.

The role will be expected to use available technology, internal systems and AI-enabled tools where appropriate to streamline routine administrative work. The focus, however, remains on the human elements of the role: judgment, prioritization, relationship management, follow-through and keeping the team organized and moving.

The ideal candidate will be proactive, resourceful, personable and highly organized, with a strong interest in media, entertainment, communications and television. Responsibilities:

Executive & Team Support:

  • Serve as Executive Assistant to the SVP of Publicity & Communications.

  • Manage a complex and frequently changing calendar, using judgment to prioritize competing demands and resolve scheduling conflicts.

  • Schedule meetings with internal teams, external partners, senior stakeholders, talent representatives, agents, publicists and other key contacts.

  • Coordinate select meetings for the wider communications, publicity and commissioning teams as needed.

  • Coordinate meeting logistics, including virtual and in-person set-up, conference room bookings, video links, travel arrangements and venue bookings.

  • Prepare and organize meeting materials, including agendas, pitch decks, briefing notes and supporting documents.

  • Support meeting follow-up by capturing key decisions, action items and next steps.

  • Support research projects and information gathering as needed.

  • Organize and maintain communications team press subscriptions, materials and shared resources.

  • Act as a reliable point of coordination for the SVP and wider team, helping ensure information reaches the right people at the right time.

Publicity, Talent Relations, Events & Team Logistics:

  • Support logistics for press activity, events, screenings, junkets, awards activity and talent-facing moments.

  • Assist with travel booking, itineraries, venue coordination, guest lists, accreditation, gifting and event materials.

  • Support talent relations activity through coordination of travel, schedules, gifting, briefing materials and logistics.

  • Liaise with talent representatives, agencies, production partners, venues, cultural organizations and other external stakeholders as needed.

  • Provide on-site or day-of support for events when required.

  • Help manage last-minute changes, competing priorities and logistical issues in a calm and professional way.

  • Help the team maintain a polished, organized and responsive approach to external-facing activity.

Financial & Operational Support:

  • Raise and track purchase orders, invoices and expenses for the North America Communications & Publicity team.

  • Support budget tracking and financial administration related to SVP and team activity.

  • Support vendor onboarding and coordination, including helping facilitate required paperwork for new vendors, GLAM teams and external partners.

  • Track and maintain visibility of contracts, including scopes of work, master service agreements and new vendor agreements.

  • Monitor pending approvals, signed agreements, deadlines and follow-ups so the team has a clear view of outstanding items.

  • Coordinate with Finance, Legal, Procurement and internal systems teams to help keep invoices, contracts and vendor paperwork moving.

  • Use available tools and automated workflows where appropriate to streamline routine tracking, reminders and administrative follow-up.

  • Maintain organized records across vendors, budgets, contracts, invoices and team documentation.

Department Organization & Cross-Business Coordination:

  • Support coordination across DTC, BritBox, BBC Select and BBC Studios Communications priorities.

  • Help coordinate meetings and materials involving Communications, Publicity, Marketing, Programming, Talent Relations, Commercial, Legal, Finance and external partners.

  • Maintain trackers and status documents that support visibility across multiple brands, teams and workstreams.

  • Set up and maintain organizational systems for press swag, gifting materials and team supplies.

  • Support the uploading, organization and maintenance of press materials across calendars, media rooms and shared systems.

  • Update and maintain departmental lists, contact sheets, trackers and internal documentation.

  • Help ensure shared folders, calendars and team resources are organized, current and easy to navigate.

  • Support new joiners, visitors and guests, helping create a welcoming and organized team environment.

  • Identify opportunities to improve administrative processes and ways of working across the team.

Knowledge and Experience:

  • Previous administrative, assistant, internship or team support experience is desirable.

  • Strong organizational and time-management skills.

  • Excellent attention to detail and follow-through.

  • Clear written and verbal communication skills.

  • Strong interpersonal skills and confidence working with senior stakeholders and external partners.

  • Sound judgment, discretion and the ability to handle confidential information appropriately.

  • Comfortable managing calendars, expenses, budgets and administrative systems.

  • Able to manage multiple priorities in a fast-paced environment.

  • Proactive, reliable and solutions-focused.

  • Working knowledge of Slack, Zoom, Microsoft Teams, Google Workspace, Canva and Microsoft Office.

  • Comfortable using technology, internal systems and AI-enabled tools to improve efficiency and productivity.

  • Ability to quickly learn new systems, workflows and internal processes.

  • Interest in communications, publicity, media, entertainment, events or television preferred.

    Salary Range:
    $63k base salary + competitive benefits + bonus potential
