Accounts Receivable Assistant (Temporary, 2–3 months)
A hands-on AR temp to collect cash, clean the sales ledgers across three regions and get the data migration-ready before the December cutover.
About the role
Triptease is a hotel technology company helping independent hotels and groups drive more direct bookings. We invoice customers worldwide through three regional entities, each with its own ledger and multiple currencies.
We are moving to a new finance system in December. Before then, we want our sales ledgers clean, reconciled and accurate, so we migrate good data and start the new year strong. This assignment combines day-to-day credit control with a focused ledger clean-up, working alongside our Credit Control team.
Key responsibilities
Cash collection
• Chase overdue invoices across EMEA, NORAM and APAC by email and phone, prioritising the oldest and largest balances
• Manage dunning sequences and customer correspondence in Upflow
• Resolve queries and disputes with Customer Success, Billing and Sales to unblock payment
• Escalate payment plans and high-risk accounts to your line manager
Ledger clean-up and reconciliation
• Carry out customer account reconciliations, matching receipts, invoices and credit notes
• Reallocate unapplied cash, debits and credits to the correct invoices, customers and entities
• Investigate and resolve credit balances: apply, refund or write back as approved
• Identify duplicate, incorrect or stale customer records and transactions, and correct them in Xero
• Clear unreconciled items and suspense balances relating to receivables
Migration readiness
• Cleanse customer master data (legal names, billing contacts, addresses, currencies, payment terms)
• Work with the Finance team to validate opening AR balances for migration to the new system
• Flag process gaps and data issues so they are fixed at source, not carried forward
Reporting
• Provide weekly updates on collections, cleared items and outstanding issues
What success looks like by December
By the December migration, the ledgers are clean, overdue debt is materially lower and the team goes into the new system with data it trusts.
Weeks 1: Up and running on Xero and Upflow across all three entities; priority accounts and problem areas identified with line manager.
Weeks 2–6: Collections underway on the oldest balances; reconciliations and reallocations progressing entity by entity; credit balances reduced.
Weeks 7–10+: Customer data cleansed, opening balances validated and signed off for migration; handover notes in place for the team.
Essential
• Proven credit control or accounts receivable experience, ideally in a B2B SaaS or subscription business
• Hands-on Xero experience, including allocations, credit notes and account reconciliations
• Confident chasing customers by phone and email, firmly and professionally
• Experience managing multi-currency ledgers across several entities
• Good Excel or Google Sheets skills (lookups, pivots, reconciliations)
• High attention to detail and a methodical approach to cleaning up historic data
• Able to start immediately and work independently with minimal handholding
Desirable
• Experience with Upflow or a similar credit control tool
