Transaction Coordinator – 100% Remote

We are looking for a highly organized and detail-oriented Transaction Coordinator to support a real estate business with transaction coordination and listing coordination. This role is ideal for someone who understands real estate workflows, can manage multiple deadlines simultaneously, and ensures every transaction and listing moves forward accurately and on time.

About the Role

You’ll be responsible for coordinating real estate transactions and listings, maintaining accurate documentation, tracking deadlines, updating systems, and supporting the team throughout the transaction process. You’ll work with multiple real estate platforms and ensure files, listings, communications, and next steps remain organized from start to finish. This is a full-time remote position.

Responsibilities

• Coordinate real estate transactions and listings from start to finish.
• Track transaction timelines, deadlines, documents, and required action items.
• Maintain accurate and organized transaction files.
• Support listing coordination, including preparing and updating listing information.
• Enter and maintain property information within MLS platforms.
• Coordinate showings and listing-related activities using ShowingTime.
• Manage transaction documentation through Dotloop and related systems.
• Maintain accurate client, property, and transaction information in Follow Up Boss.
• Communicate with agents, clients, and other parties involved in transactions.
• Follow up on outstanding documents, signatures, deadlines, and required information.
• Keep the team updated on transaction and listing status.
• Maintain organized files and documentation using Google Workspace.
• Ensure accuracy and attention to detail throughout every transaction.

What We're Looking For

• Previous experience as a Real Estate Transaction Coordinator, Listing Coordinator, or similar role.
• Hands-on experience with transaction coordination and listing coordination.
• Familiarity with Follow Up Boss, Brevity, Dotloop, Paragon MLS, ShowingTime, and Google Workspace.
• Experience with Matrix MLS is preferred but not required.
• Familiarity with Qualia is a plus.
• Strong understanding of real estate transaction workflows, documentation, and deadlines.
• Excellent organizational and multitasking skills.
• Strong attention to detail and ability to maintain accurate records.
• Ability to manage multiple transactions and listings simultaneously.
• Strong written and verbal English communication.
• Spanish proficiency is preferred.
• Ability to work independently and proactively follow up on outstanding items.
• Availability to work during EST Business hours.

• You frequently overlook details or require reminders to follow up on outstanding items.

• You require constant supervision to keep transactions moving forward.
