Description

Travel & Operations Coordinator

Pay: $24.00 – $31.25 per hour

Location: Fully Remote

At the Vander Weele Group, we are a leading nationwide provider of grant monitoring, federal oversight, and compliance solutions. We leverage deep domain expertise to streamline management processes, mitigate risks, and enhance transparency across critical federal programs.

We are seeking a highly organized, agile Travel & Operations Coordinator to anchor the complex operational backbone of a high-priority compliance project. This role goes far beyond booking flights; you will serve as the central operational hub managing the continuous deployment and real-time travel logistics for multiple compliance inspection teams nationwide.

What You’ll Own

  • Deployment & Multi-Destination Logistics:
Coordinate complex, multi-destination travel itineraries (flights, lodging, transit, rental cars) for up to 30 field team members, often under short-notice or rapidly shifting constraints.
  • Federal Expense & Per Diem Audit Backup:
Gather, verify, and build comprehensive expense backup packages—tracking exact federal per diem allocations, hotel receipts, transit costs, and traveler identities for every invoice submitted.
  • Emergency & Disruption Response:
Serve as the primary operational point of contact during travel emergencies, weather disruptions, or schedule changes—instantly accounting for deployed personnel and re-routing itineraries.
  • Project & Administrative Support:
Partner directly with the Project Manager on data entry, compliance tracking, asset returns, and administrative workflow optimization.

Our Culture & Work-Life Balance

  • Work-Life Balance & Focus Days:
We protect our team’s time and mental bandwidth with No-Meeting Fridays, giving you dedicated, uninterrupted time to complete focus work and wrap up your week.
  • Supportive Environment:
We communicate openly, respect one another, and keep a team-first mindset. We help each other overcome obstacles, celebrate team wins, and encourage continuous learning.
  • Meaningful Impact:
Our work directly ensures transparency, public accountability, and systemic improvement across critical nationwide programs.

Requirements

You’ll Thrive Here If

  • Travel Experience:
You have 3 - 5 years of experience coordinating government or corporate travel.
  • Calm Under Pressure:
Sudden itinerary changes or unexpected disruptions don't rattle you; you react swiftly, activate contingency plans, and keep teams moving.
  • Detail & Compliance Focus:
You possess exceptional attention to financial documentation, ensuring 100% accurate, fully backed expense reporting aligned with federal regulations.
  • Clearance Eligibility & Citizenship:
You are a U.S. Citizen able to pass a federal Tier 2 / Public Trust background investigation (including credit check and background verification).
  • Communication & Remote Execution:
  • You possess excellent written and verbal English communication skills and excel in an autonomous, high-velocity, fully remote environment.
