Job Description:
We are seeking a dependable and detail-oriented US Payroll and Billing Specialist to join Job Duck and play a key role in supporting payroll and accounting operations for multiple clients. In this position, you will help ensure accurate payroll processing, maintain compliance with payroll requirements, and support important financial activities that directly impact client success. You will work closely with clients and team members, providing professional communication and timely follow-up on payroll-related matters. The ideal candidate is highly organized, proactive, and comfortable managing competing priorities while maintaining accuracy and accountability. • Monthly compensation range: 1015 USD to 1100 USD
Responsibilities include, but are not limited to:
- Collaborate with internal team members to resolve payroll and accounting matters
- Research payroll issues and identify appropriate solutions
- Support payroll corrections, amendments, back filings, and related adjustments
- Track and maintain employee PTO balances and policy administration
- Assist with payroll tax withholding calculations, payments, and related compliance requirements
- Handle payroll notices and coordinate required follow-up actions
- Review payroll information for accuracy and completeness prior to processing
- Process and support US payroll activities for multiple clients
- Ensure compliance with payroll regulations across US states
- Communicate directly with clients regarding payroll matters
- Prepare and support financial reporting
- Manage benefit deductions and payroll accounts
- Support multiple client accounts while maintaining quality and accuracy standards
- Escalate issues when necessary and proactively communicate potential risks or delays
- Maintain accurate and up-to-date payroll records and client documentation
- Monitor payroll deadlines and prioritize time-sensitive deliverables
- Respond promptly to client inquiries and provide status updates as needed
- Communicate professionally with clients regarding payroll, tax, and accounting matters
- Assist with financial reporting and accounting-related activities
- Manage and monitor employee benefit deductions within payroll systems
- Support billing operations and documentation
- Process payroll notices and back filings
Requirements:
• Previous US payroll experience is mandatory
• Strong understanding of US payroll processes and regulations
• Knowledge of payroll tax withholding and tax payments
• Experience managing PTO policies and employee leave tracking
• Experience managing employee benefits deductions and payroll reporting
• Understanding of state-specific payroll requirements and compliance considerations
• Experience working in an accounting firm, bookkeeping company, payroll provider, or professional services environment preferred
• Experience supporting multiple clients strongly preferred
• Strong written and verbal English communication skills
• Excellent organizational, prioritization, and time management abilities
• Ability to work independently while maintaining a high level of accuracy
• Resourceful approach to researching payroll and accounting issues
• High level of professionalism, accountability, and discretion when handling confidential information.
