Responsibilities
Octave is looking for a Vice President, Chief of Staff to work closely with and advise the Chief Executive Officer. Reporting directly to the CEO, this person will help turn Octave’s priorities into clear plans and results.

This is a senior leadership role, not an administrative position. The Chief of Staff will work across the company to keep leaders aligned, help decisions get made, and make sure important work moves forward. This person will also set their own agenda around the CEO’s priorities—spotting issues early, knowing what needs the CEO’s attention, and taking action without waiting to be asked. We are looking for someone who has held a similar role in a global SaaS business and knows how to get things done. They should have strong business judgment, be willing to do the detailed work, and be comfortable offering a different point of view while building trust with the leadership team.
Reporting and Scope
• Reports directly to the CEO
• Starts as an individual contributor with no direct reports
• Works across the company through strong relationships and credibility, with authority from the CEO to act within an agreed scope
• Works closely with business unit and functional leaders, who continue to own their businesses and results
• Helps connect priorities across strategy, operations, product, sales, and finance and closes gaps between teams without creating another layer of management
Core Responsibilities
Company-Wide Execution
Translate strategy into action:
• Set a clear agenda around the CEO’s priorities, identify issues and opportunities early, and act without waiting to be asked
• Keep company goals, Objectives and Key Results (OKRs), owners, and milestones aligned and on track
• Follow up on the CEO’s priorities, hold senior leaders to their commitments directly and respectfully, and close gaps across teams
• Lead quarterly business review (QBR) preparation with executives
• Support Board preparation with the Corporate Secretary, CFO, Investor Relations, and other owners by bringing together input from leaders, helping shape the story, and identifying key questions, risks, and decisions before meetings
• Set focused meeting agendas for the CEO, make sure follow-up actions are completed, and help teams address roadblocks quickly
• Make sure decisions have clear owners and timelines
• Help the CEO and senior leaders raise and resolve issues quickly
Additional CEO Support
Serve as a trusted advisor and extension of the CEO by:
• Prepare concise briefings, recommendations, and materials that help the CEO make decisions
• Use good judgment to resolve issues within the agreed scope and involve the CEO when needed
• Help the CEO manage competing priorities and stay focused on the most important internal and external opportunities
• Give direct, thoughtful advice and speak up when a different approach may be better
• Keep important work moving when the CEO is traveling or focused externally
• Represent the CEO in key meetings when appropriate and make sure decisions and follow-up actions move forward
Education / Qualifications
The right person for this role can move easily between strategy and execution, build trust with senior leaders, and bring order and momentum to complex work.
Required Qualifications
• Experience working closely with a CEO, C-suite executive, or executive leadership team
• Experience in a software or SaaS business, ideally in technology, industrial technology, or digital transformation
• A record of delivering results within an operating company, not only in an advisory or consulting role
• Experience with Board activities and executive communications
• 10+ years of leadership experience in strategy, business operations, organizational transformation, or a related field
• Willingness to think broadly and do the detailed work needed to get things done
• Strong communication, analytical, organizational, and problem-solving skills
• Good judgment and the confidence to disagree, challenge directly, and maintain strong working relationships
• Ability to manage several priorities in a fast-paced environment with integrity, discretion, and professionalism
• Ability to travel domestically and internationally and work outside traditional business hours when needed
• Bachelor’s degree in business, finance, engineering, management, or a related field
