Role Overview
We are looking for an experienced Legal Assistant to support a busy family law practice through a combination of legal, administrative, client service, and billing responsibilities. In this role, you will play a key part in keeping cases organized, supporting attorneys throughout the legal process, and ensuring clients receive timely and professional communication. You will thrive if you enjoy managing multiple priorities, maintaining accuracy in fast paced environments, and building positive relationships with clients and legal professionals. Schedule:
Monday to Friday from Friday 8:30 AM to 5:30 PM EST
Your Responsibilities Will Include but Are Not Limited To:
- Monitoring accounts receivable and following up on outstanding balances
- Preparing, proofreading, and formatting pleadings, motions, discovery documents, correspondence, notices, and other legal documents
- Supporting internal workflow improvements and administrative initiatives
- Generating billing and operational reports as requested
- Assisting with new client onboarding and engagement agreement preparation
- Monitoring attorney time entries and assisting with monthly billing reviews
- Coordinating retainer replenishment requests and trust payment communications
- Maintaining strict confidentiality of all client, legal, and financial information
- Preparing and organizing filings through the Florida e-Filing Portal
- Maintaining accurate electronic client files and case documentation within case management systems
- Communicating professionally with clients, courts, opposing counsel, and third-party vendors
- Coordinating attorney calendars, consultations, hearings, mediations, and client meetings
- Preparing attorney invoices for review and distribution
- Processing client payments and maintaining accurate billing records
What We’re Looking For:
- 3+ years of experience as a Legal Assistant or Legal Secretary
- Family law experience strongly preferred
- Experience with legal billing and accounts receivable preferred
- Experience supporting attorneys and legal teams in a remote environment preferred
- Strong written and verbal communication skills
- Ability to handle confidential legal and financial information with discretion
- Excellent organizational and time management skills
- Ability to manage multiple priorities while maintaining accuracy and attention to detail
- Ability to work independently with minimal supervision
- Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
- Quiet, distraction-free remote work environment
