We are seeking an experienced Virtual Medical Receptionist / Patient Coordinator to support a busy Optometry practice. This role is ideal for someone with prior experience in an eye care setting who understands the day-to-day workflow of an optometry office, including patient scheduling, routine eye exams, specialty appointments, optical services, and delivering exceptional patient care. As the first point of contact for patients, you will be responsible for managing a high volume of inbound calls, scheduling appointments, answering patient inquiries, and ensuring every interaction reflects the professionalism and high standards of the practice. Because this is a phone-intensive role, candidates must have excellent English communication skills, clear pronunciation, and little to no noticeable accent. Patients should feel as though they are speaking directly with someone in the office. Ideal Candidate The ideal candidate is someone who has worked in an Optometry practice and understands the fast-paced nature of an eye care office. You are organized, dependable, patient-focused, and able to provide exceptional service while efficiently managing multiple responsibilities. You take pride in creating a positive experience for every patient and can confidently serve as a trusted extension of the in-office team. Responsibilities Answer high-volume inbound patient calls and provide exceptional customer service. Schedule, confirm, reschedule, and cancel patient appointments. Respond to patient inquiries regarding appointments, services, insurance, and office policies. Make outbound calls for appointment confirmations, recalls, follow-ups, and missed appointments. Manage provider schedules to maximize efficiency and minimize scheduling gaps. Update patient demographics, insurance information, and document communications in the EMR. Route messages accurately to providers and office staff. Support daily front office operations while maintaining accurate patient records. Minimum 2 years of experience working in an Optometry medical office . Previous experience scheduling patients in an Optometry practice. Bilingual English and Spanish . Excellent English communication skills with little to no noticeable accent . Experience handling high-volume inbound patient calls. Strong appointment scheduling experience. Professional, friendly, and confident phone presence. Excellent customer service and interpersonal skills. Strong organizational and multitasking abilities. Ability to work independently in a remote environment. Preferred Qualifications Experience using Crystal Practice Manager . Experience using the Weave phone system. Knowledge of optical and vision care workflows. Experience scheduling routine eye exams, contact lens appointments, and specialty eye care services. Experience verifying vision and medical insurance benefits. Previous experience supporting multiple providers in a busy practice. Please note that this is a part-time contractor position (32-33 hours per week) with a pay rate of $6 - $7 per hour depending on skillset and experience. The schedule is Monday through Friday, aligned with U.S. business hours.
