Webinar Reminder Coordinator

Office Administration — Webinar Reminders

Remote | Full-time or part-time | 26.65–28.40 per hour

The week before an online event

People register for a webinar and then need the correct joining instructions at the right time. The Webinar Reminder Coordinator supports that process remotely. You will follow an approved communication schedule, check attendee records, prepare or send standard online reminders, and note replies for the event team. This is entry-level marketing support through office administration and customer service, rather than a role that designs the presentation or manages a paid campaign.

A registrant may reply that the calendar link does not open. Check the current event details and send the approved replacement or route the problem. Another may ask to change their email address. Follow the verification and list-update rules so the join information goes to the right person. If the webinar date changes, stop using the old notice and seek the organizer's updated instructions. A reminder that is timely but wrong creates more problems than it solves.

The work also includes distinguishing an attendee question from a request to unsubscribe from future messages. Follow the company's preferences and permission rules. Keep individual replies in the proper record rather than putting private details on a general attendee list. When the event team asks what is unresolved, provide a short, accurate summary: invitations pending, link problems, and questions requiring an organizer's answer.

A reminder list should reflect the event's current date and registration status. Before preparing a message, check whether the session was moved, whether the joining link changed and whether a person withdrew. Do not send a link taken from an older webinar merely because it looks similar. If a registrant replies that the confirmation never arrived, connect the question to the online registration record and follow the organiser's delivery process. The result is a timely, accurate notice and a record of problems needing attention.

What you could be doing

  • Review the current registration and reminder schedule.
  • Check a sample of attendee records before a planned send.
  • Prepare approved email and calendar reminders in the assigned platform.
  • Verify event date, time zone, and joining link against the organizer's source.
  • Record attendee questions and responses in an online tracker.
  • Send technical or content questions to the designated team member.
  • Respect communication preferences and remove a person only under approved rules.
  • Confirm that the event owner has authorized a scheduled send.

Event reminders or office administration experience can help, though a newcomer is welcome. The employer will train a newcomer on its email platform, timing rules, and event process. You should be comfortable with dates, online lists, and short written replies. The ability to pause when two sources disagree is more useful than knowing a specific webinar product in advance.

This is remote work with part-time or full-time possibilities depending on the employer. A home office or another private workspace is suitable for attendee data. The hiring company will specify its actual schedule and equipment.

Before a reminder is approved

  • Compare the time zone with the event's confirmed schedule.
  • Open the join link through the organizer's designated test process.
  • Check the event name and audience against the registration list.
  • Confirm that a cancelled session is excluded.
  • Review whether a prior message already went to the same attendee group.
  • Record who approved the final reminder.

After replies arrive

  • Separate a link problem from a question about the presentation.
  • Send an updated instruction only from the approved source.
  • Note a corrected address without exposing other attendees.
  • Route an accommodation question to the event owner.
  • Respect a person's request to stop further messages.
  • Keep an unresolved issue visible until someone accepts ownership.

The quality of the role is measured in fewer avoidable surprises on event day, not in sending the largest number of reminders.

Application steps

An example of coordinating an online meeting or keeping a group informed before an event would be relevant. You may draw it from school, volunteering, or previous employment. Explain the details you checked before a message went out. Applicants proceeding to the next stage may need to complete a form on the company’s website. The organizer will provide the specific event calendar and role expectations later in the process.
