The Administrative Assistant provides comprehensive administrative support to the North America Pioneer Agency Marketing Leader, the Multi-Channel Seeds (MCS) Marketing Leader, and their respective marketing teams. This role is responsible for managing schedules, coordinating travel and meetings, preparing materials, and executing administrative processes that enable the marketing organization to operate efficiently and deliver on commercial priorities. The position requires sound judgment, discretion, and the ability to anticipate needs in a fast-paced, matrixed environment.
Key Responsibilities
Leader and Team Support
- Manage complex, dynamic calendars for marketing leaders, prioritizing competing requests and proactively optimizing their time.
- Coordinate domestic and international travel arrangements, including frequently changing itineraries, and prepare associated documentation.
- Manage communications on behalf of marketing leaders and serve as a professional point of contact for senior leaders, external agency partners, cross-functional peers, and field marketing teams.
Meeting and Event Coordination
- Prepare and organize briefing materials, agendas, and presentations to ensure leader and team readiness for internal and external meetings.
- Plan and execute team meetings, offsites, agency and customer engagements, and marketing events, both onsite and offsite.
- Capture meeting notes, track action items, and maintain shared documentation and team sites (Teams, SharePoint, distribution lists).
Administrative Operations
- Process and reconcile expense reports with accuracy and discretion.
- Manage purchasing, accounts payable, and accounts receivable activities on behalf of the supported marketing teams.
- Coordinate onboarding logistics for new marketing team members based in Johnston.
- Support marketing data entry, campaign tracking, and event recording as required.
- Ensure administrative processes and workflows remain accurate, efficient, and compliant with company policy.
Cross-Functional Coordination
- Partner with Technology, Human Resources, Facilities, and other enterprise functions to resolve team needs and remove barriers.
- Support ad hoc projects aligned with Commercial Marketing priorities.
- Perform additional responsibilities as assigned.
Education:
- You have a high school diploma or equivalent
What Skills You Need:
- You have a minimum of three (3) years’ administrative experience
- You are comfortable with technology and have strong computer skills, including proficiency with Microsoft Office applications such as Outlook, Word, Excel, and PowerPoint. You are also willing and able to learn and effectively use company-specific software and systems as needed.
- You have good written, verbal, and interpersonal communication skills with the ability to communicate effectively with internal and external customers
- You have high attention to detail can multitask, maintain an organized workplace, and have excellent problem-solving skills
- You uphold health and safety to the highest standard! You consistently help others and demonstrate adherence to safety protocols, policies, and procedures to ensure you and your colleagues go home safely every day

Work Location:
- This is a hybrid position, which requires employees to work approximately 60% on-site at the designated Vylor location and may work up to 40% remotely
