THE OPPORTUNITY
Great investments start with great operations. As Analyst, Procurement Delivery, a newly created role, you will report to the Procurement Delivery Lead and keep BCI's contracting for goods and services on track, from first request to final signature. You will be the day-to-day owner of your vendor engagements, coordinating meetings, following up with vendors and assessment teams, and drafting and organizing the documentation each request needs.
You will work independently, take contracts from request to signature, and keep records and reporting accurate. Working closely with the Lead, you will help shape how the role operates, build a strong view of how BCI buys, and use it to keep requests moving and stakeholders informed.
Your work supports a transparent, well-governed procurement process across BCI, so teams get what they need to deliver for the clients and beneficiaries we serve.
WHO YOU WILL WORK WITH
You will join Procurement, part of the Finance department within BCI Operations. Finance covers investment and corporate accounting, valuations, financial reporting to clients, budgeting, tax, and investment performance and analytics, and works with business partners, auditors, and external advisors to provide timely, accurate financial information.
Procurement sources, contracts, and manages the vendors, software, services, and goods BCI relies on to run the business. The team is building the capability, tools, and credibility to be a strategic partner to the business, as part of a firm-wide effort to modernize how we work.
At the centre of that effort is a redesigned vendor intake process that Procurement now owns end to end. As Analyst, you will help deliver this process day to day, working with business requestors, assessment teams in Legal, Cyber, Privacy, and Technology, and our vendors.
WHAT YOU BRING
This role may be filled at Level 1 or Level 2, depending on experience.
- Bachelor's degree in business, supply chain management, public administration, or a related field; an equivalent combination of education and experience may be considered
- One or more years of experience for Level 1, or three or more years for Level 2, in procurement, contract administration, vendor coordination, project coordination, client service, or administration
- Three or more years of experience in procurement, contract administration, vendor coordination, project coordination, client service, or administration
- Organizational and coordination skills to manage multiple concurrent requests, track deadlines, and keep work moving across business teams, assessment teams, and vendors
- Excellent written and verbal communication skills and a customer-service mindset
- Analytical and problem-solving skills, including the ability to consolidate information, build dashboards and reports, and turn data into actionable insights
- Proficiency with Microsoft Office (Word, Excel, PowerPoint) and SharePoint
- Discretion and sound judgment in handling confidential and commercially sensitive information
WHAT YOU WILL DO
Intake and Coordination
- Own the movement of application, software, consulting, and staff augmentation requests from submission through to sourcing, assessment, and signature, keeping hand-offs between assessment teams on track
- Schedule and run meetings, requirements-gathering sessions, and assessment check-ins, capturing action items, decisions, and next steps
- Gather and maintain the documentation each request needs, including business requirements, assessment inputs, and approvals, so assessment teams have complete information before work begins
- Track every request against its timeline, monitor deadlines, and flag delays and at-risk dates early
- Guide business requestors through the process, answer questions, and follow up with requestors, assessment teams, and subject matter experts to keep requests on schedule
- Independently manage requests end to end, using judgment on sequencing and next steps, and bring exceptions to the Delivery Lead
Vendor and Stakeholder Coordination
- Act as the day-to-day contact for your assigned vendors, consolidating requests from assessment teams into a single, coordinated ask
- Manage sourcing logistics, including scheduling vendor demonstrations, distributing materials, and tracking evaluation timelines
- Gather the commercial and vendor information needed to prepare contract drafts, including pricing, payment terms, and use case details
- Route contract drafts and supporting materials to Legal and other assessment teams for review and track each one through to signature
- Keep vendors and stakeholders informed, confirm receipt of information, and follow up on outstanding items
Reporting, Records, and Continuous Improvement
- Monitor KPIs, produce reports and dashboards that span Finance, Legal, and Technology, and share regular status updates with stakeholders
- Maintain accurate contract records in the contract repository and use the data to monitor renewals and support decisions
- Start and track post-signature onboarding steps so the business requestor has continuity
- Maintain process records, templates, and tools, and identify and implement improvements to workflows, templates, and reporting
- Prepare briefs, presentations, and supporting materials for audiences at all levels of the organization
- Take on special projects and other related duties as required
