Corporate Travel Specialist
About The Role
We are looking for a Corporate Travel Specialist to take full ownership of business travel, group travel and corporate events for a portfolio of corporate clients. This is a key role within Paralela 45, with direct responsibility for managing corporate accounts independently and handling client requests from first inquiry to final delivery.
You will act as a trusted advisor to travelers, travel bookers and client stakeholders, making sure every trip, group and event is efficient, compliant with company travel policies and cost-effective, without compromising on service quality. This role suits an experienced travel professional who combines deep operational expertise with strong client relationship skills.
Key Responsibilities
Account Management & Client Requests
- Take full ownership of a portfolio of corporate accounts, including VIP and executive travelers, with minimal supervision
- Handle incoming client requests (individual trips, groups and events) end to end: understand needs, prepare tailored proposals and quotes, confirm arrangements and follow up after delivery
- Build long-term relationships with travelers, travel bookers and HR/procurement contacts within client companies
- Contribute to onboarding new corporate clients, including setting up traveler profiles, policies and reporting
Business Travel
- Manage end-to-end business travel arrangements — flights, hotels, car rentals, transfers, rail and visa support — including complex multi-leg and international itineraries
- Ensure all bookings comply with each client's corporate travel policy, flagging exceptions and suggesting compliant alternatives
- Manage changes, cancellations, refunds and disruptions (delays, strikes, missed connections) quickly and calmly
- Support duty of care by keeping traveler profiles, contact details and itineraries up to date and knowing where travelers are in case of emergencies
- Prepare accurate itineraries, travel documents and pre-trip information for travelers
Groups & Corporate Events
- Plan and manage group travel for corporate clients — team trips, incentive travel and delegations — from sourcing and quoting to rooming lists, flight blocks and on-trip coordination
- Organize and coordinate corporate events such as conferences, meetings, offsites and company celebrations, including venues, accommodation, transfers and supplier management
- Work with DMCs, venues, hotels and event suppliers to secure the best options within each client's budget and standards
- Prepare travel documents and participant information for groups and events
Suppliers & Cost Optimization
- Negotiate and maintain corporate agreements with airlines, hotel chains and other suppliers, and apply negotiated rates to find cost-saving opportunities on every trip
- Advise clients on travel policy improvements, supplier choices and cost optimization based on travel data and industry best practices
- Maintain accurate records of bookings, corporate travel policies, loyalty program memberships and traveler preferences to deliver a consistent, personalized service
Finance, Reporting & Team
- Handle invoicing, cost center allocation and reconciliation of travel expenses in collaboration with the finance team
- Prepare periodic reports for clients on travel spend, policy compliance and savings achieved
- Mentor and support junior colleagues, reviewing their work on complex bookings and sharing best practices

What We Are Looking For
Experience
- 4+ years of experience in corporate travel, business travel management (TMC) or a similar role
- Proven track record of independently managing corporate accounts
- Proven experience in organizing group travel and/or corporate events, alongside individual business travel
- Experience handling VIP and executive travelers with a high level of discretion and service
Technical Skills
- Strong knowledge of airline fares and ticketing rules, including reissues, refunds and exchanges
- Strong knowledge of corporate travel policies, negotiated fares and rates, and supplier agreements
- Ability to analyze travel spend data and turn it into clear recommendations for clients
- Basic finance knowledge for invoicing, cost tracking and collection follow-up
- Experience with Amadeus or other GDS/reservation systems is a plus
- Experience with online booking tools or expense management platforms is a plus
Languages
- Romanian — native, with perfect written command
- English — fluent
- Additional foreign language is a strong plus
