The International Paralympic Committee (IPC) offers the position of a full-time Grant Co-ordinator (f/m/x) in an international and multicultural team at the IPC Headquarters (on-site) in Bonn, Germany, starting as soon as possible.

The IPC, a purpose-driven non-profit association, is the global governing body of the Paralympic Movement. We oversee the delivery of the Paralympic Games and Paralympic Winter Games and serve as International Federation for five Para sports. We enjoy a positive working relationship with the IPC Governing Board, members of which are democratically elected every four years by the IPC General Assembly. Since 1989, we have been creating change through sport with the Paralympic Games and Paralympic athletes at our core.


The IPC seeks to use the influential global position of the Paralympic Movement and the growing profile of Para athletes to challenge the stigma attached to disability and empower social transformation.


ROLE


The Grant Co-ordinator (f/m/x) is placed at Level A3 according to our internal compensation structure. The role is accountable to the Accounting and Finance Senior Manager and will support three key areas of responsibility. Firstly, it will contribute to the administration and processing of payments (and advances, where relevant) related to IPC initiatives, as well as IPC IF and RO Grants.


Secondly, it will act as a core liaison between the Finance and Membership teams, ensuring effective coordination, communication, and alignment of financial processes and administrative requirements. Thirdly, the role will support the Finance function in its daily operations, including general finance tasks and ad hoc support as required.


CORE RESPONSIBILITIES


Grant administration

  • Preparation of agreements with grant recipients.
  • Preparation of agreements with service providers for programme delivery.
  • Preparation and processing of Contract Approval Forms for all membership-related contracts, including grant payments and payments to service providers for IPC funded events.
  • Coordination and follow-up of contract and agreement signatures.
  • Maintenance of proper documentation and filing systems.


Programme Coordination

  • Notify the Membership Team once agreements and proof of payment are filed in SharePoint for grantees/payees coordination.
  • Support the Membership Team in tracking grant activity status and payment completion.


Liaison between Finance and Membership teams

  • Support grant payment processing activities.
  • Assist the Membership team in tracking grant activity status and payment completion.
  • Coordinate billing processes in cases where funds must be returned to donor.


Finance operations

  • Independently manage the monthly corporate credit card process.
  • Record, monitor, and reconcile travel expenses generated by the Travel department.
  • Oversee and maintain the accounts payable management tool (webIC).
  • Contribute to month-end closing activities, including supplier reconciliations.
  • Support the Accounts Payable team in preparing weekly payment runs.


CORE REQUIREMENTS


  • University degree in Finance, Accounting, Business Administration or comparable vocational training.
  • Initial experience such as an internship or entry-level position in a finance, accounting or similar administrative role, combined with basic knowledge of accounting principles and financial processes.
  • Working knowledge of written and spoken German at B1 level. Fluency in written and spoken English.
  • Ability to operate with diplomacy in a fast-changing environment, manage multiple tasks at once, and prioritise and work under tight deadlines.
  • Proficient team player and self-starter with a process-oriented mindset.
  • Detail-oriented and meticulous work manner with proficient organisational skills.
  • Passion for the IPC’s vision, mission, and values.
  • Proficiency in MS Excel and other standard office applications; familiarity with accounting software is a plus.


DESIRED REQUIREMENTS


  • Work experience in an intercultural environment.
  • Good understanding of sport governance.
