Job Summary:

The HR Policy & Administration Assistant provides administrative, research, documentation, and coordination support to the HR Policy team.

The role supports the development and implementation of HR policies by collecting information, maintaining policydocuments and data, coordinating with internal departments and external parties, and assisting with policy communication and employee inquiries.


Key Responsibilities:

1. Policy Administration & Documentation

  • Maintain and organize HR policies, procedures, guidelines, announcements, templates, and related documents.
  • Support the preparation, formatting, proofreading, and updating of policy documents.
  • Maintain policy trackers, version control, approval records, and implementation timelines.
  • Prepare meeting minutes, internal communications, reports, and other documentation as required.

2. Research & Data Support

  • Support the HR Policy team in conducting market research and collecting data related to employee benefits, business travel, housing, relocation, well-being, leave, and other HR policies.
  • Organize and summarize collected information using Excel/Google Sheets for further analysis.
  • Assist with employee surveys, market benchmarking, and policy-related research projects.

3. Coordination & Policy Support

  • Coordinate with HR, Finance, Admin, and other departments to collect information and follow up on policy-related matters.
  • Support employees with basic policy inquiries and coordinate more complex cases with the relevant team member.
  • Assist with communicating new or updated policies, guidelines, and announcements to employees.
  • Track employee requests, feedback, and policy-related cases to ensure timely follow-up.

4. Vendor & Operational Support

  • Coordinate with vendors, brokers, and external service providers when required.
  • Support quotation collection, information comparison, meeting arrangements, and documentation.
  • Assist the team with field research, business trips, or on-site surveys when required.

5. Other Responsibilities

  • Provide general administrative support to the HR Policy team.
  • Support policy-related projects and other tasks assigned by the Line Manager.


Job Requirements:

  • Bachelor's degree or above in Human Resources, Business Administration, Law, Management, or a related field.
  • Minimum 2 years of practical experience in drafting, reviewing, implementing, and maintaining HR policies within a corporate environment is required.
  • High attention to detail with strong organizational and documentation skills.
  • Ability to manage multiple projects and priorities simultaneously.
  • Proficient in Microsoft Office applications, particularly Word, Excel, and PowerPoint.
  • Familiar with Canva and AI tools for design, content creation, and work productivity.
  • Strong sense of integrity, fairness, and confidentiality.
  • Systematic and detail-oriented mindset.
  • Proactive, responsible, and highly accountable.
  • Compliance-oriented with strong professional judgment.
  • Comfortable working in a fast-paced multinational environment.
  • Willingness to travel or relocate internationally when required by business needs.
