As an Immigration and Global Mobility (GM) Specialist , you will advise IDEXX leaders and the HR community on international moves, immigration compliance, and mobility policy. This is a full-time, onsite role based at our Westbrook, Maine headquarters. The HR Global Payroll and Mobility team manages the policies, processes, and vendor relationships that support IDEXX employees moving across borders. You will join an established team and work closely with Talent Acquisition, HR Business Partners and Advisors, Total Rewards, People Operations, Payroll, Finance, and Legal, as well as external immigration, tax, and relocation providers, to strategize and enhance our GM function while providing exceptional customer experience. You'll help attract, develop, and retain top talent by making sure every international move is compliant, well-executed, and a positive experience for the people at the center of it. In this role: Advising the business and HR community You'll advise business leaders and the HR community on relocations, mobility, fast-changing immigration laws, and social security and tax implications. You'll recommend the right move type for each situation — short-term assignment, long-term assignment, permanent transfer, commuter arrangement, or local hire — along with its cost, tax, and compliance implications. You'll translate complex immigration and tax scenarios into clear, practical guidance for GM stakeholders. You'll brief and equip managers and HR colleagues so mobility conversations start from the right assumptions. Immigration and right-to-work compliance You'll ensure compliance with immigration laws and regulations across all jurisdictions in your scope. You'll coordinate US and global visa, work permit, and residence permit processes with immigration counsel, and quality-check supporting documentation. You'll track critical dates — visa expiry, permit renewals, sponsorship obligations, entry conditions — and trigger action well in advance. You'll run right-to-work checks and recordkeeping to local standards, and support immigration audits and sponsorship compliance. Managing international moves end to end You'll own the compliant, high-quality execution of international moves, from assessment and initiation through coordination and closing feedback. You'll run intake and kick-off discussions with employees, hiring managers, and HRBPs to confirm scope, package, timing, and responsibilities. You'll serve as the single point of contact for international assignees and transferees, keeping transitions smooth for both the employee and the business. Tax, social security, and payroll You'll partner closely with People Operations and Payroll on the execution of GM actions and tasks. You'll coordinate tax services with our external provider. You'll instruct Payroll on correct pay delivery, including home, host, or split payroll, shadow payroll, and year-end reporting. You'll monitor social security positions and escalate permanent-establishment or withholding risk to Tax and Legal. Rewards, cost, and exception management You'll partner with Total Rewards on global rewards policies and practices for the mobile workforce. You'll prepare assignment cost projections and host-based compensation calculations for business approval. You'll manage exception signoffs, log the rationale for each, and track exception patterns over time. You'll partner with Finance on accruals and mobility budget forecasting. Vendor management You'll manage relationships, SLAs, and satisfaction with third-party immigration, tax, and relocation providers. You'll investigate service failures, escalate where needed, and feed findings into service reviews and future improvements. You'll review and reconcile vendor invoices against policy and approved estimates. Process improvement, projects, and reporting You'll identify gaps and opportunities in our processes and ways of working, leveraging AI where it helps. You'll lead or contribute to projects that shape the future of Global Mobility at IDEXX. You'll maintain accurate case records and produce reports on mobility data and trends for internal stakeholders. You'll create and refresh employee-facing materials and internal playbooks for the HR community. What you need to succeed: 5+ years of experience in global mobility across various regions. Strong knowledge of immigration regulations in the US and across other regions and jurisdictions. Experience in vendor management. Experience with data analytics — comfortable building and interpreting data. Ability to interact at all levels of the organization. Ability to combine strategic work with day-to-day transactional execution. Experience managing cross-functional projects. A continuous-learning mindset to stay current on global mobility regulations and best practices. A customer-focused orientation. Ability to work independently and collaboratively in a team environment. Full proficiency in English. High level of integrity and sensitivity when handling personal, financial, and legal data. Bachelor's degree or equivalent practical experience. Tech savviness. GMS® or GMS-T® (Worldwide ERC), CRP, GPHR, or SHRM-CP certification is a plus. Additional languages are a plus.
