About the role
Olive US manages USD private-market funds (fund-of-funds, SPVs and direct investments). This role keeps our book accurate and owns the in-house portfolio data system behind it.
What you will do
Portfolio management (about 50%)
• Process capital account statements, quarterly reports and audited financials; reconcile commitments, paid-in capital, NAV and distributions.
• Verify capital calls and distributions, track wires, and keep liquidity records current.
• Update quarterly marks from statements, financing rounds, M&A or public prices, recording the basis and date of each.
• Book conversions, mergers, in-kind distributions and exits as they happen; support new closings.
• Draft and review quarterly LP reports and annual meeting materials, including performance (TVPI, DPI, IRR) and look-through holdings.
Data, systems and process (about 30%)
• Own data quality in our portfolio system: load documents, maintain master data, run checks and fix breaks.
• Maintain and test reports and AI/MCP tools; make small changes to queries and scripts (SQL, Python, TypeScript) with AI coding tools, under code review.
• Find the manual, repeated steps in our quarterly cycle (statement intake, reconciliation, marks, LP reporting) and replace them with checklists, templates or automation.
• Write and maintain data definitions, runbooks and process documentation.
Post-investment support (about 20%)
• Monitor financings, exits, tenders and lock-ups; flag valuation-relevant events to the team.
• Be day-to-day contact for information requests to GPs, SPV managers and companies; track side-letter rights and support consents and transfers.
• Draft follow-on, tender and sell-or-hold analysis for the team's decision.
What you bring
• 1 - 3 years in fund administration, fund accounting, financial-services audit or fund operations; bachelor's degree in a related field.
• Working knowledge of LP capital accounts, carried interest and waterfalls; can find the governing clause in an LPA or side letter.
• Working SQL and strong Excel.
• Hands-on with modern AI coding tools (e.g., Cursor, Claude, GitHub Copilot, MCP) to assist with data scripts, queries, and workflow automation.
• Has improved or automated a recurring process before, and can show what changed.
• Meticulous: checks the source, and marks an item “to be confirmed” rather than estimating.
• Commercial sense to read an update, tender offer or merger notice and say what it means for our position.
•Professional fluency in written and spoken English and Mandarin Chinese (required for communicating with APAC-based fund partners/investors and reviewing bilingual documentation)
•Must be authorized to work in the U.S. (Open to OPT/STEM-OPT / Visa sponsorship considered for exceptional candidates)
Nice to have
Python or TypeScript; Git; secondaries, tender or M&A experience; knowledge of master-feeder, Series LLC and SPV structures; CFA or CPA progress.
