Job Description:
The Paralegal, Labor & Employment provides critical support to the Legal & Compliance Department and Human Resources teams in managing employment law matters, internal investigations, immigration compliance, and ethics hotline administration. This position serves as a key operational partner responsible for maintaining legal records, developing standardized processes and templates, coordinating with outside counsel, and conducting workplace investigations. The ideal candidate is highly organized, detail-oriented, exercises excellent judgment, and can effectively manage sensitive and confidential matters.
Responsibilities:
Labor & Employment Legal Support
- Provide day-to-day administrative and operational support to the Legal & Compliance and Human Resources departments on employment-related matters.
- Assist with the management of employment litigation, administrative charges,
- subpoenas, and other legal matters.
- Support attorneys and HR professionals by gathering documents, organizing files, scheduling meetings, and tracking deadlines.
- Prepare draft correspondence, reports, legal summaries, and other employment-related documents for review.
- Maintain employment law resources and assist with legal research as needed.
- Records Management and Process Administration
- Develop, organize, and maintain electronic and physical records related to employment matters, investigations, immigration, and litigation.
- Create and administer document retention and file management processes to ensure consistency, accessibility, and compliance.
- Maintain case tracking systems, status reports, calendars, and matter management databases.
- Ensure confidentiality and appropriate handling of privileged and sensitive information
Template and Process Development
- Design, maintain, and continuously improve standard templates, forms, checklists, guidance documents, and workflows used by the Legal & Compliance and Human Resources departments.
- Promote process consistency, operational efficiency, and compliance through
- standardized documentation and procedures.
- Identify opportunities to streamline administrative processes.
Outside Counsel Management
- Serve as the primary administrative point of contact between the Company and outside counsel.
- Coordinate engagement letters, billing submissions, invoice tracking, document transfers, and matter-related communications.
- Facilitate information gathering and document production requests.
- Maintain records of outside counsel matters, budgets, and key deadlines.
Immigration Program Administration
- Organize, administer, and monitor the Company's immigration program.
- Coordinate with employees, Human Resources, outside immigration counsel, and government agencies regarding visa sponsorships, work authorizations, renewals, and related filings.
- Maintain immigration records and tracking systems to ensure timely filing and compliance with applicable requirements.
- Assist in the development and maintenance of immigration-related policies and procedures.
Hotline and Ethics Program Administration
- Administer the Company's ethics and compliance hotline system.
- Manage intake, assignment, tracking, and closure of hotline reports.
- Monitor investigation timelines and ensure appropriate documentation is maintained.
- Generate reports, metrics, and dashboards related to hotline activity and investigation status.
- Coordinate communications and follow-up activities associated with hotline matters.
Workplace Investigations
- Conduct prompt, thorough, objective, and confidential investigations relating to employee complaints, policy violations, misconduct allegations, harassment, discrimination, retaliation, ethics concerns, and other workplace issues.
- Interview complainants, witnesses, and subjects of investigations.
- Gather, review, and analyze relevant documents, communications, and other evidence.
- Prepare investigation reports that summarize factual findings and conclusions.
- Partner with Legal, Human Resources, Compliance, and business leaders to support investigation outcomes and corrective actions.
- Maintain investigation files and ensure compliance with Company procedures and applicable laws.
Qualifications:
- Bachelor's degree or paralegal certificate from an accredited institution.
- Must have a minimum of 3 years of previous experience in a law firm or in-house legal department.
- Strong aptitude for the development of and adherence to process.
- Experience managing confidential information and sensitive workplace matters.
- Strong organizational skills with demonstrated ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office applications, case management systems, and document management tools.
- Ability to work independently while collaborating effectively across departments.
