McElhanney has an exciting opportunity for a Project Administrator to join our team in the Vancouver Region. In this role, you'll be an essential member of the project delivery team, providing administrative and project coordination support across a diverse portfolio of projects.

Working closely with Project Managers, technical professionals, and division leadership, you'll help coordinate schedules and resources, maintain project information, support financial administration and invoicing, prepare client deliverables, and contribute to the successful delivery of projects from initiation through to completion.

What You’ll Be Doing:

  • Assist with the coordination of scheduling of staff and projects, equipment tracking and scheduling, setup and invoicing of projects, and general support to the division’s project operations. 
  • Entering and maintaining accurate project details through McElhanney’s Business Management System (BMS)
  • Assist with record keeping, review and distribution of documentation, preparation of correspondence and meeting minutes, updating project schedules, maintenance of files and logs.
  • Assist Project Managers with project tracking, scope management, monthly reporting, monthly financial reporting, cost estimation, and document preparation.
  • Assist the Division Manager with the setup of systems to streamline tasks and find efficiencies in operations. 
  • Support in the preparation of deliverables, presentations, proposals, and documentation.
  • Attend project meetings with client and stakeholders, prepare agenda and minutes.
  • Collaborate with various teams and divisions to provide project assistance and support as required.
  • Contribute to a safe, clean, and positive office environment.
  • Execute a range of other duties as required.

What You’ll Bring:

  • A Diploma or Degree in Business Administration, with a focus on project administration or coordination, is preferred but not mandatory. 
  • A minimum of 3 years of related experience in project administration or coordination. Candidates with significant experience will be considered.
  • Experience in the engineering, construction, or logistics industries with an understanding of financial systems is preferred.
  • Strong computer (Microsoft Office, MS Project, PDF Editors) skill set.
  • Knowledge of business management systems and scheduling software or the ability to learn new software with ease.
  • Strong level of pride, ownership, and productivity in their approach to their work.
  • Personable, professional demeanor, and a team player with the ability to handle confidential information with discretion.

What Can We Offer You?

The salary range for this role is $68,000 - $80,000 per annum. McElhanney offers fair compensation that is commensurate with the individual’s education, experience, skills, and professional qualifications. The posted base salary range is representative of the required level of qualifications and experience for the position as noted in the job posting. The salary offered will be based on the experience and qualifications of the successful candidate.
