This position is based at our Luxembourg headquarters and requires regular office presence. The EIB offers you the opportunity to live and work in a truly international and multi-cultural environment. We also offer relocation support.
The EIB, the European Union's bank, is seeking to recruit (Senior) Executive Assistant for the President’s Office and Vice-President Offices within the Management Committee, at its headquarters in Luxembourg. This is a full-time position at grade 2/3.
The duration of the contract will be 3 years.
Panel interviews are anticipated starting November 2026 onwards.
This publication concerns a generic recruitment campaign for Executive Assistant positions. It aims to establish a talent pool for current and future needs across the President’s Office and Vice-President Offices within the Management Committee. Applications received through this campaign, that are meeting the eligibility requirements, may be considered for vacancies arising within one year from the confirmation of their eligibility.
The Bank retains the right to determine the level of the position, the type and duration of contract (including fixed‑term or permanent), and the team in President’s Office and Vice-President Offices within the Management Committee, to which the selected candidate may be assigned, as well as the timing of recruitment, in accordance with organisational needs and internal policies. Purpose
Provide high-level executive and administrative assistance to a member of the Management Committee—the President or a Vice-President—coordinating the secretariat’s day-to-day workflows to support the smooth and effective running of the office.
Specific Post Environment
You will join the President’s Office or one of the Vice-President Offices and report to the relevant Head of Office. Working at the heart of the EIB’s senior management environment, you will help coordinate a demanding and varied workflow while handling sensitive information with tact, discretion and diplomacy.
You will operate independently on routine matters within clear procedures, seeking guidance on more complex issues. The role requires strong organisational judgement, accuracy and flexibility, including availability to work outside core hours when business needs require it.
Operating Network
You will work closely with the President or Vice-President, the Head of Office, advisers and fellow assistants. You will also liaise daily with other President and Vice-President Offices and with directorates across the EIB Group to ensure efficient coordination and timely follow-up.
Externally, you will interact with senior contacts such as ministries of finance and economy within and outside the EU, key stakeholders, European and global institutions and other partners. These exchanges require a consistently professional approach and sound judgement.

Accountabilities
In This Role, You Will
- Organise meetings, business trips and missions, including travel arrangements, administrative preparation, follow-up and the provision of required documents and information.
- Manage the President’s or Vice-President’s agenda, optimise time allocation, coordinate appointments and resolve conflicting demands.
- Manage telephone coverage, incoming correspondence and the day-to-day workflow of the secretariat.
- Prepare documents and coordinate their distribution and validation in line with operational needs and EIB Group procedures.
- Manage correspondence, prepare replies where appropriate and ensure timely follow-up and compliance with deadlines.
- Receive and respond to incoming enquiries based on established instructions or direct them to the appropriate person for prompt resolution.
- Maintain accurate electronic and paper filing systems and ensure data quality for easy access and retrieval.
- Carry out ad hoc tasks and general research to support the office and its operational activities.
- Contribute to improving secretarial and operational working methods to strengthen efficiency and performance.
- Provide essential back-up for other Executive Assistants when required to ensure business continuity.
- Secondary-level diploma complemented by a two-year certification in a relevant field, such as secretarial studies or business administration.
- At least 5 years of professional experience in an administrative support role, preferably at least 2 years of personal assistant responsibilities at management level.
- Some understanding of the EIB Group’s activities, key staff, organisational structure, processes and procedures.
- Familiarity with the practices and procedures of the Governing Bodies, including the Management Committee, Board of Directors and Audit Committee would be an advantage.
- Good command of standard office tools, including Word, Excel, PowerPoint and the intranet.
- Strong organisational skills and the ability to prioritise effectively in a fast-changing environment.
- A strong sense of responsibility and initiative, combined with accuracy, precision and attention to detail.
- Tact, discretion and diplomacy, underpinned by strong communication skills and confidence in dealing with senior contacts inside and outside the EIB Group.
- A strong focus on quality and flexibility, with the ability to work both independently and collaboratively according to business needs.
- Excellent command of German language.
- Excellent command of English and/or French*** with a good command of the other. Knowledge of additional EU languages would be a distinct advantage and may be particularly valuable depending on the office supported.
