Job Description This Project Coordinator role supports civil construction projects by managing documentation, coordinating site and office activities, and facilitating clear communication across project teams. The position focuses on reviewing drawings, preparing project documentation, assisting with contract administration, and supporting field operations to ensure projects run safely, efficiently, and in alignment with schedules and quality standards. This opportunity is ideal for someone who wants to wear many hats, gain exposure to multiple facets of construction projects, and grow long term with a smaller, dynamic firm. Responsibilities Review project drawings to assist with estimating and quoting, and set up organized project folders for new projects. Download, organize, and update drawing files, ensuring project documentation remains current and accurately reflects the latest revisions. Develop the ability to read drawings in detail and confirm that all documentation aligns with the design and project requirements. Draft and review Requests for Information (RFIs) to clarify project details and ensure timely resolution of design or scope questions. Support invoice coding by reviewing project-related invoices and assigning them to appropriate cost codes or accounts. Assist in preparing safety documentation to support safe work practices on site and compliance with applicable requirements. Help prepare and maintain quality control documentation, including Inspection Test Plans (ITPs), to ensure consistent quality standards. Provide contract administration and vendor management support, including general project setup and coordination with suppliers and subcontractors. Review and execute change orders, ensuring all scope changes are documented, approved, and communicated to relevant stakeholders. Work with the project schedule and lookahead schedule to track upcoming activities and milestones. Communicate site information to clients as required, including activities such as backfilling and concrete pouring, and ensure they remain informed of progress. Provide field support and site administration as needed, acting as a focal point for communication across project staff. Assist with permit application processes as required, helping gather documentation and submit applications in a timely manner. Coordinate with site teams to align office and field activities, ensuring project documentation and schedules reflect actual site conditions. Maintain effective communication with internal team members and external stakeholders through clear, professional verbal and written correspondence. Essential Skills Minimum 2+ years of experience in project support functions such as documentation control, change order administration, RFIs, schedule support, and acting as a communication focal point across project staff. At least 2+ years of work experience with a civil contractor, or a minimum of 1+ year of trades or labour experience in the field, such as carpentry apprenticeship or labourer work. Demonstrated experience in project coordination, site administration, document control, change order processing, and field support. Education in carpentry, construction management, construction supervision, or a related program (for example, programs offered by technical institutes such as BCIT). Proficiency with MS Office applications for documentation, reporting, and communication. Experience using MS Project or similar scheduling software to support project and lookahead schedules. Ability and willingness to travel to construction sites as needed to support field operations and site administration. Strong verbal communication skills to effectively liaise with project staff, clients, vendors, and site personnel. Strong written communication skills to prepare clear RFIs, documentation, emails, and reports. Organizational skills to manage multiple tasks, documents, and project priorities in a fast-paced environment. Attention to detail when reviewing drawings, documentation, and change orders to ensure accuracy and completeness. Additional Skills & Qualifications Experience working on projects involving BCH or similar utilities, either directly or through a subcontractor, is an asset. Experience or training in carpentry or related trades, particularly where it supports understanding of civil construction activities, is beneficial. Previous exposure to safety documentation and quality control processes, including Inspection Test Plans (ITPs), is an advantage. Comfort working in a smaller firm environment where you may take on varied responsibilities and support multiple aspects of a project. Interest in building a long-term career in civil construction and growing with a company as it expands its portfolio of infrastructure work. Openness to potential long-term opportunities, including immigration-related support, subject to performance and mutual long-term fit. Work Environment The role operates within a small, close-knit team of approximately 15 employees, including a mix of full-time and part-time staff, offering frequent collaboration and exposure to many aspects of project delivery. The position is primarily based in an office environment with regular interaction with construction sites. You will work standard weekday shifts, typically Monday to Friday, with options such as 8:00 a.m. to 4:00 p.m. or 7:00 a.m. to 3:00 p.m. Office hours are flexible as long as work is completed, but site-related responsibilities require availability during site hours, particularly from 7:00 a.m. to 3:00 p.m. The role requires the ability to travel to project sites as needed; reliable transportation is recommended, especially since some office locations and project sites are not easily accessible by public transit. One office location has transit access, while another (in Maple Ridge) does not, and some sites may be difficult to reach via transit. There is parking available for employees. The company may offer potential remote or hybrid work arrangements, subject to operational needs and preferences, with an expectation of more frequent office presence during the first 3–6 months for onboarding and training. Employees can work from either of the available office locations, and those working from home are expected to maintain a suitable home office setup that supports focused, professional work.
