While the position is advertised by RMIT Vietnam, the successful candidate will be employed and managed by an external service provider, who will be responsible for the labour contract. POSITION SUMMARY The Student Visa Support Officer is responsible for supporting the delivery of student visa administration services for international students at RMIT Vietnam. The role provides administrative support across student visa operations, compliance monitoring, records management, and related processes. This includes assisting with the preparation and submission of visa documents, maintaining accurate visa-related records, supporting visa status monitoring activities, and contributing to residential registration, visa extension, cancellation, reporting, and payment administration processes in accordance with University policies and local regulations. Reporting to the Senior Coordinator, Enrolments & Student Records, and working under the supervision and instruction of the Advisor, Student Visa Support, the position ensures visa administration activities are completed accurately and timely, supports compliance with immigration requirements, and responds to routine student and stakeholder enquiries to maintain efficient and high-quality service delivery. Reports directly to: Senior Coordinator, Student Administration – Student Visa Support (SGS) KEY ACCOUNTABILITIES Support the tracking and monitoring of visa status for international students, including those on Leave of Absence (LOA) and cancelled enrolments, escalating compliance matters to the Senior Coordinator as required. Assist students with informing residential registration in accordance with local regulations and established processes. Assist with the preparation and submission of online and offline visa documents for entry, extension, or cancellation, ensuring documentation is complete, accurate, and securely stored. Support students through the visa extension and cancellation process, working with relevant stakeholders under the guidance of the Senior Coordinator. Maintain accurate visa-related records and student data, ensuring data integrity, confidentiality, and compliance with policies. Provide day-to-day visa information and support to students, internal teams, and stakeholders, escalating complex or non-standard matters to the Senior Coordinator as required. Support the preparation and maintenance of process documentation and operational guidelines. Support visa-related payment administration activities, including maintaining payment records, verifying supporting documentation, and liaising with relevant stakeholders to support accurate and timely processing. Support visa record-keeping and reporting for other campuses as required, working with ARG and other stakeholders to help resolve routine issues. Collaborate with Student Connect, International Office and relevant stakeholders to support international students in obtaining and maintaining their visas. Support the delivery of visa-related training materials and guidance to relevant teams, under the direction of the Senior Coordinator. Support local communication on visa matters, maintaining alignment with policy and processes. Contribute to process improvement initiatives by identifying operational issues and supporting enhancements to workflows and systems Other duties commensurate with the scope of the role. KEY SELECTION CRITERIA A relevant tertiary qualification or an equivalent combination of relevant experience. Demonstrated experience (typically 2–4 years) in administrative, visa, enrolment, or student records processes, preferably within a higher education or service-oriented environment. Strong attention to detail and accuracy in managing data and information. Experience working with administrative systems, databases, or student information systems. Demonstrated ability to follow processes and procedures and maintain compliance requirements. Effective communication and interpersonal skills, with the ability to respond to enquiries and work with a range of stakeholders. Ability to manage tasks, prioritise work, and meet deadlines in a structured environment. Ability to work independently and as part of a team. Proficiency in Microsoft Office and relevant digital tools. Demonstrated commitment to service quality, teamwork, and continuous improvement. Ability to display appropriate behaviours in line with the position, RMIT Values and RMIT Leadership Model.
