Key Responsibilities
- Pre-Event Support:
- Support the flow and rhythm of tasks across the event timeline
- Actively participate in pre-event planning, including but not limited to, team documents, communications, data management, attendee and rooming lists, material procurement, shipping and inventory management
- Organize, track, assemble and coordinate on-site materials and deliverables
- Assist with maintaining and pulling reports and historical event records across various systems
- Run errands, assist with online ordering, and manage expense tracking
- On-Site Event Support:
- Traveling to pre-planning on-site meetings and to the event
- Create and lead the organizing and packing, sending and unpacking of all materials to and from the event
- Lead the on-site planning team’s task execution
- Attend and assist in executing all team meetings on-site
- Post-Event Support:
- Participate in unloading, organizing, inventorying, and distributing all items used at the event
- Respond to guest inquiries, follow ups and sending out mailers
- Finalize expenses and vendor invoicing
- Collect survey responses, procure stats and reporting elements to assist in the production of the After-Action Report
Qualifications
- High school required and a minimum of 3 years of relevant experience, or equivalent combination of education and experience required.
- Experience in hospitality or fast-paced event environments preferred
- Highly professional and trustworthy, with confidence in engaging with executive leadership
- Calm under pressure and can manage receiving multiple requests simultaneously
- Strong organizational and multitasking skills with meticulous attention to detail
- Proficiency with Microsoft Office Software, Canva, Google Sheets, and Google Drive
- Self-starter with the ability to think critically, adapt, and independently resolve situations in real time
- Comfortable working on both administrative and hands-on physical tasks
- Excellent communication and follow-through with the event team and stakeholders
Working Conditions
- Work hours are flexible outside of the in-person requirements
- Extended hours, including evenings and weekends, are non-negotiable during event week
- Increased hours around key projects and event week
- Must have reliable transportation with willingness to run scheduled errands (mileage is reimbursable)
- Be able to lift or move boxes up to 15 lbs

Our mission is to deliver an unforgettable experience, with meticulous attention to detail as we bring vision to reality with grace, accuracy, and excellence.
We are looking for a highly organized, detail-oriented, and proactive individual who brings professionalism and care to everything they do. This role is hands-on and fast-paced, and it requires precision in logistics, guest services, and administration. The ideal candidate thrives under pressure, navigates complex details seamlessly, and approaches every project with a spirit of hospitality and service.
Because this role keeps our operational engine running smoothly, the ideal candidate is a high-capacity self-starter with proven multitasking, organizational, and communication skills. You are just as comfortable diving into spreadsheets, expense tracking, and vendor logistics as you are rolling up your sleeves for physically packing boxes, inventory management, and on-site execution.
As the Event Coordinator, you will work closely with the 1YL Director, Travel Coordinator and Planning Team — driving momentum during pre-event planning, leading task execution on-site, and bringing projects across the finish line post-event.

Specific Working Conditions
- Remote working environment; travel when necessary.
- Position is temporary, full-time through March 2028. Benefits are also offered for this position.
Pay Transparency
In the U.S., the standard base pay range for this role is outlined below. This base pay range is for the U.S. and is not applicable to locations outside of the United States.
The anticipated hourly rate for this position can range from $19.60-$24.53 depending on relevant education, experience, and location.
