Position Overview

FAME is seeking an experienced and detail oriented Accounts Payable Operations Manager to oversee and strengthen the organization's accounts payable operations.

This position will manage invoice processing, vendor relationships, payment coordination, expense documentation, reconciliations, and financial reporting. The successful candidate will help maintain accurate financial records, establish effective internal controls, and ensure that financial processes support the organization's operational and programmatic objectives.

Key Responsibilities

• Oversee daily accounts payable operations, including invoice intake, review, coding, approval coordination, and payment processing.
• Manage vendor accounts, maintain accurate supplier records, and resolve billing discrepancies.
• Review invoices, purchase orders, receipts, and supporting documentation for accuracy and proper authorization.
• Establish and maintain efficient payment workflows and accounts payable procedures.
• Monitor payment schedules, outstanding invoices, and accounts payable aging reports.
• Perform vendor statement reconciliations and investigate discrepancies.
• Maintain appropriate financial controls to prevent duplicate payments, unauthorized transactions, and processing errors.
• Coordinate with finance, administration, program management, and operational teams to verify expenses and resolve payment issues.
• Support month end and year end closing procedures, including reconciliations, accruals, and financial documentation.
• Maintain organized, accurate, and audit ready accounting records.
• Assist with financial reporting, budget monitoring, and audit preparation.
• Maintain confidentiality and protect sensitive organizational, financial, and vendor information.
• Ensure accounts payable procedures support nonprofit accountability and applicable financial reporting requirements.

Qualifications & Requirements

• At least 2 years of accounts payable or accounting experience.
• Previous experience managing AP workflows, financial operations, or accounting personnel.
• Strong knowledge of full cycle accounts payable, reconciliations, invoice processing, and internal controls.
• Experience with accounting software, financial management systems, and Microsoft Excel.
• Excellent analytical, organizational, and problem solving skills.
• Strong written and verbal communication abilities.
• Ability to manage competing priorities and meet financial deadlines.
• High standards of accuracy, integrity, discretion, and accountability.
• Ability to work independently and collaboratively in a remote environment.
